I need help to create a deal and notes custom reports, with this report I want to show case the deals which are created in the current month and show the latest notes that has been entered by the deal owner.
I have already created the report in HubSpot but it deals are repeating because of mutliple notes in each deals. Is there a way to show unqiue deals with the last notes that has been entered by the deal owner? I cannot add the screenshot here because of data interegrity.
Also, in the report can we show the last activity date property with the time? Meaning right now if I use last activity date property in report then it only shows the date but any way to showcase the time of last activity?
Can someone help me to create this report.

I’ve some idea to showcases unique deals with the latest notes entered by the deal owner, and also to display the time of the last activity by following below:

Select Deals and Notes as the primary data sources.

Add the properties for Deals: such as Deal Name, Deal Owner, and Deal Created Date.
- For Notes: Add properties such as Note Content, Note Date, and Deal ID.

Configure Report to Show Unique Deals with Latest Notes:
- Aggregation: To avoid repeating deals due to multiple notes, you will need to aggregate the notes.
- Use Calculations: In the Custom Report Builder, you can use Aggregates to ensure you are only showing the latest note. You might need to set up a custom field or a calculated property for this.
- Sort Notes: Sort notes by the Note Date in descending order and choose to show the most recent note per deal.

Create a Calculated Property or Use a Filter:
- If you cannot find a direct way to aggregate notes, consider creating a calculated property or using a HubSpot workflow to tag or flag the most recent note.

Ensure the report only shows unique deals and the latest note for each deal. You can do this by configuring the report settings to only display the most recent entry.
You can create new report or add in existing to displaying the Last Activity Date with Time
That must have custom property or use HubSpot’s Activity Timeline to show last activity.

Hey @AJ_Kakrot, yeah! I can assist you in setting up the report by first analyzing whether your HubSpot portal has access to create calculation properties.
If you could provide access to your portal, I will check this for you and confirm the findings.
@Syeda_Fatima we are having HubSpot Marketing & Sales Hub Professional so not sure if this can done on this subscription model. I’m afraid to provide the portal access due to data integrity. Any other way to connect on this matter?

@AJ_Kakrot Calculated properties are available only in HubSpot’s Enterprise.
With the Professional plan, you would not have access to this feature.

That’s not correct, calculation properties have always been available on the Professional tier: Create calculation and rollup properties
Oh yeah! this has been added recently for the professionals as well.

Not quite, this has always been on the Professional tier.
