Data Sync

Dear Support,

On Hubspot, we try to track our communications with partners and the number of new matters ref.erred to our firm. The way the process currently works is:

1. Enquirer contacts our office.

2. Reception makes contact, and logs the Enquiry as a new Deal on Hubspot, and indicates that it was ref.erred by a Partner.

3. We would then associate that Deal with the Partner’s Contact Card.

4. Using “Data Sync”, we created a field that picks up the “Date of the Last Ref.erral”, which is linked only to the date of the most recently created Deal.

However, we have run into an issue where this is not entirely accurate as - “Most Recently Created” is linked to Hubspot’s system dates meaning, for enquiries migrated into the system, a bulk of our Deals have similar/the same creation date (e.g. An enquiry in 2021 has the same “Creation” date as an enquiry in 2024).

Any ways around this? Could we manually change the Create date? Could we use a calculation instead of data sync? Or is the reality that new Deals need to be created to override migrated data?

Data sync is a feature for integrations in HubSpot - you didn’t mention any integrations. Or are your referring to a sync property? If so, which object is the sync property created on? Can you share a screenshot of the sync property settings?

Is the goal to see on the partner contact when their latest deal was created which was categorized as enquiry?

If so, then no, sync properties do not offer any additional settings which would allow you to bypass the create date and reference a last referral date. If you want that, you would have to maintain a custom date property, not a sync property, and use workflow to log that date instead of a sync property that looks at the create date of a record.

It is like the date issue is tricky with migrated Deals, and sometimes using a calculated field based on actual enquiry or dates works better than relying on system-created dates.
