Creating Dynamic, Rep-Specific Reports in HubSpot

Hello HubSpot Community,

I’m looking for insights or guidance on creating more efficient reports within HubSpot. My goal is to develop a system where I can create a single report that dynamically adjusts its content based on the sales representative viewing it.

Situation:

  • We have multiple sales reps, each managing their own set of accounts.
  • Currently, there’s a need to create individual reports for each rep to track which accounts they should focus on.
  • This process is time-consuming and inefficient, especially with a growing team.

Requirement:

  • I want to create one comprehensive report.
  • This report should automatically filter and display data relevant only to the specific sales rep viewing it. For instance, when Rep A logs in, they should only see their accounts, and the same goes for Rep B, and so on.
  • The aim is to maintain confidentiality and focus, ensuring reps only access data pertinent to their work.

Question:

  • Is there a way in HubSpot to set up such a dynamic, user-specific reporting system?
  • If yes, could anyone guide me through the process or point me towards relevant resources or tutorials?

Any advice or shared experiences on this matter would be greatly appreciated. I’m looking to streamline our reporting process and make it as efficient and rep-specific as possible.

Hey @JLorillon - This is absolutely possible in HubSpot.
Step 1: Build out your reports

Step 2: Add reports to a dashboard
Step 3: On the top left of your dashboard select ‘Dashboard filters’

and then on the filters that slide in on the right hand side for each data source in your report find the owner property and set to ‘Me’

@JLorillon not sure if you’ve figured it out by now or not, but Hubspot’s dynamic filtering for “logged in user” is somewhat limited. It works on “owner” fields but doesn’t work on “created by” fields for multi-object reports. So for example I can’t create a multi-object Meeting report that filters on “created by = logged in user” and includes deal info.

I think what you are asking is achievable on a custom object Deal & Activites report, filtering dynamically on the ‘Created by used ID’ property?

@HFisher7 that doesn’t actually work dynamically though. if you share that report with someone else, it will show records created by whichever user set up the report.
