Contact List Search

Hi,

When we add a potential customer into HubSpot, we add them with a Lead Status = Lead, we use Assigned Adviser to allocate them to a staff member and we then create a Task on the customer record for the allocated staff member to follow-up the customer (e.g., call, email or ‘to-do’).

I know that we can bulk change the Lead Status and Assign Adviser, but is there a way that we can bulk allocate a Task to follow-up?

Is there a way that we can search for Leads that do not have a Task allocated to them? I’ve used ‘Lists’ to create the below search, but this doesn’t seem to work (and other combinations I’ve tried also haven’t worked:

Association to: Activity

And Type = Is none of,

‘To-do’; Call; Email and

Include records where ‘Type’ is emplty

I hope you can help and thank you in advance for your assistance.

Kind regards,

Sam

Hi @SStillone,

Yes, contacts can be created in bulk. You can find the explanations here (search for “bulk”) – Create tasks

Alternatively, if you have a Professional subscription, you could use a contact-based workflow to do this. Workflows have an actions which lets you create tasks for each enrolled contact. For enrollment criteria in this workflow you could use “Lead status is Lead AND Assigned advisor is known AND Is not a member of list Contacts that have tasks associated to them”.

The list I mentioned is something you’ll need to create as well. In this list, filter for contacts that are associated with an activity with Activity Type “Task”.

(The filter that you created is not quite the same. HubSpot will look for contacts that have at least one activity matching your criteria. You need to approach this slightly differently, as in this case HubSpot doesn’t let you search for the absence of something. You need to build a list of contacts who have a task – and then create another lists of contacts who are not a member of this first list.)

Let me know if you have any follow-up questions!

Thank you Karsten. This is much appreciated.

Hi @SStillone. In addition to @karstenkoehler’s suggestion, I’d like to add that you can indeed bulk “create tasks” from the contact overview window. By filtering your contacts, perhaps by recently added, you can then create tasks all at once:

Hope that also helps!

Thanks Dan. I knew there was a simple solution. Just embarassed that it was in front of my eyes and I didn’t see it.

Thanks again :slightly_smiling_face:

Happy to help @SStillone!
