I just started using Hubspot, I wanted to start with the free verison to see if I liked the tool. I’m having an issue with records. I’ve been adding company contacts and once I get to over 100 company records the number goes down. Its happened to me twice already, so strange. For example, I was adding the company contacts and it showed I had 102 records then when I looked again it was at 60 records. I thought it was odd so I contiuned on with my imports I got 117 record then it went down to 96 records. I’ve stopped adding my company contacts until I figure this out. I’m importing each company contact manual and there are no duplicates. If someone can share some insights? Are my records being deleted?

Regarding the companies, great question, thank you for asking the Community!
I’d like to ask some clarifying questions to make sure I understand what’s happening:
1. You are importing company records? Or contact records?
2. How are you importing these records, manually creating a company each time in HubSpot? Or using a spreadsheet and then importing the file into HubSpot?
The more info, screenshots (without sensitive/confidential information), and details you can provide, the better the Community can assist.
It seems that it may be due to import errors, but I’d need more information to make sure of this.

Once you are on the “companies” page, can you please click on the top right button “Import”? There you’ll be able to see and review if you have any import errors.
I also wanted to invite a couple of subject matter experts to this conversation: Hi @Bryantworks, @Josh and @Jnix284 can you think of other reasons why some records would be missing, please?

@BérangèreL like @Lucila-Andimol I think there is already another post with the same question, the screenshot provided shows that @SCaldevilla is manually creating the company records - which would eliminate import errors as a possibility.
I’m not sure why they are manually adding companies rather than importing, or why the number of records would decrease without making any other changes (merging or deleting).
The only thought would be if they’re adding companies by domain and then adding multiple contacts per company, maybe the count is adjusting in the view - I’m not sure if it’s a combination of companies and contacts being added, a company can only be added once whereas a company can have multiple contacts.
If they’ve added 117 contacts and it only shows 96 companies, my assumption would be that 21 contacts are on the same company as another contact.
I am importing company records manually.
Contacts > Companies > Create Company > (I’ll add company domain it fills
and I review make sure its right) > Create and add another
That has been my process. I see the records on the top left corner under
companies. Attached is a screenshot of my page when I go to start creating
a new company.

@SCaldevilla when you’re adding them manually and seeing the number of records increase and then decrease, can you scrub the list of companies against those you’ve added to see if you can identify which ones are missing?
It’d be helpful to know a specific record that’s been removed rather than just the discrepancy with the record numbers.
I’m not able to see the screenshot you emailed (they have to be added directly in the community thread), is it possible you have any filters on that could impact the total record count?
