Our agency has a fairly complex form we send to clients to fill out with details about their business and requirements prior to a new project. Currently its done with Gravity Forms in WordPress, the results are emailed to the sales manager and they print the results to PDF and attach it to the project management software and it goes to the team that way. I would like to achieve everyone’s “dream” of getting that information into one spot - Hubspot if possible - but I’m running into a variety of walls. The form is long - therefore I’d like to break it into multiple pages. My predecessor had created custom fields for the information we gather, and built it across multiple forms/LPs so its better organized, and each page saves/submits a form, to alleviate complaints that its too long, takes too long etc. If someone dips out mid way, it has captured where they left off and they get a reminder email. The data is all collected in Hubspot - and that’s great. BUT - I’m not meeting everyone’s needs until I find a way to
1) Send it to multiple people as ONE document
2) Have that submission data in a format that can be shared to the project management and other teams as an attachment in a different space.
I tried to create a single email notification that would go out to sales when all forms in this process were completed, using tokens. And found out there is a limit to how many tokens you can have in an email. I figure the sales manager can print an email and save that to PDF and upload it to the PM software - but if I can’t find a way to combine all the fields from all the forms in one place, I can’t do that. Only the sales manager would be going into Hubspot so I need a way to share all this data with ohters.
Does anyone have any other ideas or solutions I can explore? We have both the marketing and sales module but I admit I haven’t delved into the Sales side much yet.
