i know that HS alerts you when you create a new company based off an existing domain, but how can i setup a workflow to alert mgmt that a user is creating a new company with an existing domain..we dont want anything sneaky going on…LoL

As far as I know, there aren’t any other alerts for a company being created with the same domain name that matches an existing company beyond the warning you see when manually creating a new company record. HubSpot will pull up the record with the matching domain name and give you the option to head to the existing record to update it or still create a new company record.
However, I don’t believe there’s a way to trigger a notification when that happens. Your best bet is to regalarly review the potential duplicate records that HubSpot finds (more info in this Knowledge Base article). You would then be able to review and merge duplicate records on a case-by-case basis.
Make sure that the users who will be creating company records understand the importance of avoiding duplicates here as well. There are absolutely use cases for multiple company records with the same company domain name (like if they’re different regional offices for the same company), so you can define agreed-upon use cases with your team. And if you’re reviewing duplicates on a monthly basis, so should be able to clean up any needed records. You can also see the exact user who creates or updates any record, so you can check out those duplicate ones to see where exactly they originated.
