Add on App to create a Knowledge Base

Hi all - I have a nonprofit client that already has Sales Hub Pro subscription and lots of users using many of the provided features. They want to add a knowledge base (searchable Wiki), but can’t afford to increase the price of their subscription by adding Service Hub Pro.

Any ideas for an alternate solution? Was hoping to find an Add On from the marketplace, or a clever way to build it into a HS website with an add on.

Hi @scoleturbo, I hope that you are well!
Lovely to see you on the HubSpot Community, and thanks for asking! :sun_with_face:
I’d love to put you in touch with some of our Top Experts: Hi @Jnix284, @JenBergren and @StjepanGrcic can you think of another way to add a knowledge base without a Sales Hub subscription to help @scoleturbo, please?
Have a fantastic day and thanks so much in advance for your contributions!
Best,

@scoleturbo I don’t know of any apps that create a knowledge base, there are standalone tools that might integrate with a custom API, but the subscription costs and integration would be much higher. One option would be to leverage the blog functionality and create a simple system of tagging posts so they’re easy to find. There are a lot of downsides for using this workaround though (SEO, UX, Reporting/Analytics, and functionality) and one seat of service hub pro would be well worth the expense and likely more affordable in the long run than any custom solution you could build with the blog.

Hi @scoleturbo

If you have access to CMS Hub Starter - you mentioned you have HS web pages you can:

  • Create a hidden section of website or a private page tree.
  • Use a custom template to make it look like a KB. Then use smart content or password-protected pages to restrict access. By leveraging the HubDB feature (if CMS Pro is available) for database-style article management.

Another way is to embed a Free/Low-Cost Wiki Tool in HubSpot Pages

  • Create the KB in Notion – great for creating a sleek, organized wiki and then embed them into HS. You can use password protected feature in free Notion.

You can also use Documents tool to upload guides, catergorize and track views and engagement. Playbooks can also be used as internal SOPs - not ideal for public use but great for teams.

Warmly,

- Stjepan

If existing HubSpot options are not working for you, there are also third-party options for a knowledge base, but they require additional management. Some of these options are a WordPress or a Ghost.org website (both open source, but require you to manage their hosting) with a knowledge base or documentation-type theme. You can add the HubSpot tracking code to both of these, and you can track page views or form submissions in HubSpot.
