Using Form properties as trigger for workflows

Hi,

I want to use a form field as a trigger for a workflow but cannot seem to find this as a filter option. Can this be done?

Basically, I want a contact to have the option to click on a single check box. I want to use this checkbox as a trigger for a workflow.

How can I set this up?

Hi @LRrokaj7,

It’s not possible to filter for properties being filled through a form submission – just the fact that field is filled and that a form submission has happened in the past day, for example. But it’s not possible to specify that the value has been provided through the form submissions.

For enrollment in a workflow, you would choose the “When filter criteria is met” enrollment option, then find your checkbox property under “Contact properties” and specify that it’s value should be yes.

Additionally, below “Contact properties” find “Form submissions”, find your form and specify that your form, refine the filter and specify that the submission has happened less than 1 day ago.

There could be edge cases where the checkbox was filled other means and the contact has submitted the form without checking the box. It’s unlikely, but it could happen.

Let me know if you have any follow-up questions!

Hi @LRrokaj7

There is no such thing as form properties in HubSpot, you are simply using existing contact, company or ticket properties on forms.

So, if you want to use a checkbox property, use that property (and it’s “True” value) in combination with the form submission as your workflow trigger.

Hi @LRrokaj7,

The form submission fields are the same as properties so you can use these as enrollment criteria as you would any other workflow. For example, if they complete a form and the checkbox says, get it touch with me, your enrollment criteria is that property with that value selected. You can then choose whether or not to re-enroll contacts if they submit the form again. You may want to apply other filter requirements to that enrollment criteria, such as “Filled out form XYZ” just in case someone manually checks that box from the CRM interface.

Just to check here, so I have a form, for sign-ups which I want to use to add users to segments/lists based on what they have selected. Is this not possible or am I reading this wrong? Thanks

Hi @MRushton and thanks for asking the HubSpot Community!

Hey @MRushton and Happy Wednesday!
Getting back to you on this! The form doesn’t offer a “send to list X” setting for each option, but you can easily segment contacts based on their selections by using properties, active segments, and even workflows if you’d like.
This gives you great flexibility to organize your contacts just how you want!
I hope this helps!
Wishing you a lovely day ahead! :sun_with_face:
