Sync Salesforce Task Status

I am looking to sync the status of tasks between Salesforce and HubSpot so that when tasks are marked as done in Salesforce, this reflects in HubSpots and vice versa.

The property mappings shows the below error when trying to map Salesforce: Status with HubSpot: Task Status:

This Salesforce field has picklist options that are missing in the HubSpot property. Please choose a different property.

I can’t see the option to customise the HubSpot Task Status options to match the options in Salesforce’s Status field.

Hey Marshall,

So, unlike nearly all properties in HubSpot, Ticket Statuses and Deal Stages are actually updated elsewhere. To add or edit a Ticket Status, in your settings in the left sidebar navigate to Objects > Tickets > and then select the “Pipelines” tab up top. Then you just need to select the specific pipeline in the “Select a pipeline” dropdown and add/edit any Status you need.

Hi Brian,

Thanks for the info - I’m looking to integrate tasks rather than tickets however, if you are able to advise?

Oh, my apologies. Anytime I read or hear “Status” by brain goes to Tickets. However, going over this again, property mappings for the SF integration are only for standard objects like Contacts, Companies, and Deals in HubSpot, and not necessairly for Tasks. Would you mind sharing a screenshot of where you are trying to map this as well as the error?

Did you ever identify a solution? I am dealing with this same issue right now when trying to sync my tasks over from Salesforce to Hubspot.

Hi @MParr3

The tricky part here is that HubSpot’s Salesforce connector doesn’t expose task status as a mappable property the same way it does with Contacts, Companies, or Deals.

That’s why you see the picklist mismatch error: HubSpot’s “Task Status” values are fixed (Not Started, In Progress, Waiting, Completed) and can’t be customized to match Salesforce’s broader picklist.

A common workaround is to sync tasks indirectly. You can map Salesforce tasks into a custom object or a note/activity in HubSpot, then use workflows to update HubSpot’s task status fields as close as possible. Documentation on HubSpot task status is here:

(Filter tasks and manage task views )

(Connect HubSpot and Salesforce )

If you need a one-to-one match of picklist values, it usually means either normalizing Salesforce task statuses down to HubSpot’s set, or capturing them in a custom property in HubSpot for reporting, while leaving HubSpot’s task completion tracking as-is.

On the side, some teams avoid this whole limitation by handling status updates outside HubSpot and just keeping visibility. Platforms like Stacksync can push bi-directional changes in real time between Salesforce and HubSpot tasks, bypassing the “only standard objects” restriction.

That way your sales reps see a consistent status without worrying about which platform updated it first.

Hope this helps.
