Hi all, 

 

Any tips on how to clean up companies & contact masterdata?

 

Data has been added in the past from dynamics, but it's a mess now, what is the best way to clean it? 

  • extract, clean in excel?
    • no data losses? this doesn't interfere with existing data?
  • straight in hubspot
    • best practices?

Could you share a bit more context about the mess? Which information exactly do you want to clean up, what's missing, what's wrong? The more details, the better community members like myself can help.

 

Generally, exporting, cleaning up and re-importing works fine. During the clean-up period, however, records might be worked on and further updated in HubSpot directly by other users. That would be a potential risk.

 

As another general tip, when exporting, cleaning up, re-importing, make sure to keep the Record ID. When re-importing, you should map the Record ID so that HubSpot updates the records in their existing place. The record ID is a unique identifier, along with the company domain name but more reliable – especially if you are potentially also cleaning up company domain names or companies are missing the domain.

The data in the customer master data contains:

  • required fields, that is crucial for companies (indicated in bleu)
  • non-required but useful data 
  • other fields - no idea of the added value
    • is there some kind of datamodel of hubspot?
  • imported data from "dynamic" - to delete
  • calculated fields - based on contacts, deals etc (won't touch this)

My method was to:

  • complete the "required" field
    • and make sure that those are required when creating a contact
  • delete redundant (external) columns
    • the columns from dynamic not used anymore
  • where possible enrich data for the non-required fields 

To be more concrete i could send you the table with columheaders.

 

Is there some documentation/best practices available for this exercis?
