Upload multiple documents over time.

SOLVE

I need my contacts to be able to upload a document and ADD it to their record. As it is now, whenever someone uploads a document from a form it overwrites the old info. Is there a way to add documents sequentially over time, or upload to the same place where HubSpot stores documents when you upload from within the application?

After some work, I have discovered the following. 

The Attachments card, a standard part of the Contact layout, is not tied to attachments from forms. This only displays attachments made from within HubSpot by a Hubspot user. 

You can create a card to see the attachment from a form, which provides a convenient way to access the most recent attachment.  You can even set the card to appear only if an attachment has been submitted. 

While the field that you use to upload an attachment is indeed overwritten each time, the history of that activity is not. If you go to the Activities tab, you can see all previous forms filled with their attachments intact. You can even filter by form fills. While clunky, at least all old attachments are retained and accessible. 

 

You can also look at all of the properties for a contact, then scroll down to the field you used for attachments, then hover over it to see the Details button, then click that to see a list of all previous attachments. Very clunky, but an option. 

 

Clicking on an attachment from within HubSpot will bring up a preview, which includes an internal link URL. This would be the PERFECT thing to share in an internal notification, but there is no way to access it.  


There is no way to sync the attachment to Salesforce, but you can sync the activity as a task, and the task will include a link back to the attachment in HubSpot. Again, not ideal but a workaround. 

Hope these workarounds help someone else struggling with this down the road, and please, if I am wrong on anything please update me.

Hey @pinchvalve, thank you for posting in our Community!

 

HubSpot doesn't support uploading multiple documents to a contact record through forms without overwriting existing files. However, you can work around this by using workflows or a custom integration to allow multiple documents to be uploaded to the same contact record sequentially.

 

One option is to create a custom file field where your contacts can upload documents, and then use workflows to handle file uploads, ensuring that files are stored separately or appended over time.
