Hi there! New to Hubspot Sales and am curious if there is a standard best practice for what type of contact should be set into a sequence vs. a 1-1 email/personal outreach?
Also, is it best to set up tasks to email contacts individually? or email directly from a view within contacts?
I'm struggling to balance my outbound activity between sequences and direct outreach and how to structure my day.
Any help or advice would be SO helpful! Thank you!
Sequences are useful if you're planning to send multiple emails in a row, trying to elicit a response from a contact. If those emails that you're sending are typically the same and there is a repetitive aspect to it – since over time you've learned which emails perform best and in which order to send them – then sequences are the way to go. They help you not have to go through the exact same steps every single time.
If however you're only planning to send one email or if your outreach is so highly personalized that you cannot find a template that applies to all contacts, one-to-one emails might be the better option.
In the end, sequences are meant to make repetitive tasks easier.
Regarding your second question, this goes back to a similar point. A sequence is something you set up in advance, an automation that will think for you. You program it to send emails and to remind you about certain things (using the tasks within sequences). If those steps are the same again and again, definitely add them in a sequence.
The idea here is also that, as your business and sales grow and scale, it's going to be harder and harder to keep track of the many outgoing activities. The more messages you're sending, the easier it'll be to lose track which ones you've sent, which contacts are next etc. Sequences help with that.

the main advantage of sequences is that you get to contact multiple contacts (multiple times) at a time, that with 1-to-1 emails would take you an incredibly higher amount of time.
You can use sequences for prospecting, nurturing, follow up on deals or tickets....and much more.
Hope this helps

Whether to use sequences or 1-to-1 emails in HubSpot depends on your specific needs and the nature of your contacts:
Sequences are ideal for automating follow-ups with leads who have shown interest but have not yet converted, allowing for timed email templates and follow-up tasks. This is useful for nurturing leads over time without manual intervention each step of the way.
For more direct and personalized outreach, 1-to-1 emails are recommended. These allow for greater personalization and are suitable when a more tailored approach is needed, such as with high-value prospects or specific client queries. You can send these emails directly from a contact's record within HubSpot, ensuring that each communication is relevant and specific to the individual.
Regarding tasks, setting up tasks to email contacts individually can be beneficial for ensuring no contact is overlooked and maintaining personalization in your outreach efforts. This method can help balance automated sequences with direct, personalized emails.

When deciding between sequences and emails, consider the scope and personalization required.
Sequences are perfect for targeted outreach to smaller groups, automating a series of personalized emails at set intervals, simulating a one-on-one conversation.
This approach excels at nurturing leads, following up on events, and re-engaging inactive contacts.
In difference, emails are ideal for highly personalized outreach to individual contacts, particularly in complex situations demanding specific details or prompt responses.
They are suitable for initial contact with qualified leads or addressing specific needs that require a more tailored approach.
