Reports Summary Does Not Match Data

We primarily use HubSpot for service tickets. We created a report to give ticket numbers for the previous month broken down by category. Last month when looking at the report it gave a total of 1,589. However, when you manually pull a total of the numbers given for each category shown in the summary the total is 1673. Exporting the report to Excel gives a similar issue. The detailed view gives 1589 entries but when you add up the totals from the summary you end up 1673. How do I go about identifying and resolving this discrepancy?

Reports Summary Does Not Match Data

So as you can see from the first screenshot above, when you click on the report within HubSpot, it give you a Report Total of 1,589. When you export the report to XPEX you get an Excel spreadsheet with 2 tabs. In the first tab which is a summary of the report, it has a row for each category with a total next to it. If you use an Excel formula to total those numbers they come out to 1,673 (reference the second screenshot above) which is different than the number shown from within HubSpot. The fun part of this report is, that the second tab of the Excel spreadsheet that was Exported is a detailed listing of each ticket that makes up the report. The total number of entries in this tab is 1,589 which matches the total from withing Hubspot but no the total from the first tab.

As for the reports setting, forgive me I thought the first screenshot about shows them. I will provide more to hopefully give you the settings you are looking for.

Reports Summary Does Not Match Data

So the report is a summary of all service tickets created for the previous month broken down by category. So we can see for example how many tickets we had that were Warranty Claims. The screenshot below is where you can see an example of the issue. It shows the report being customized and you can see to the right of each category is a total for that category. It is also scrolled all the way down so you can see the report total at the bottom. The issue is if you take the totals for each category and add them up manually (copy them then paste them into Excel and get a sum of the numbers) it equals 1673 which can be seen in the second screenshot. As you can see that does not match the report total shown in the first screenshot. I believe you can see the settings on the left in the first screenshot but if there are other settings you need to see please let me know where to find them.

Reports Summary Does Not Match Data

Hi @BridgeheadIT,

Can you please elaborate how exactly you're doing this?

Could you please also share a screenshot of your report settings? There might be a fine difference between the two methods that causes the discrepancy.

When you look at the report in HubSpot, it shows a Report Total of 1,589 (see the first screenshot above). When we export the report to XLSX you get 2 tabs, a summary and a list of the tickets with details that make up the report. If you take the numbers shown in the summary tab (same numbers shown in HubSpot) and summarize them the total is 1,673. When you look in the details tab in the Excel report the total number of entries is 1,589.

As for the settings, I thought those were in the second screenshot above. Here is another one but if these are not the settings you need please let me know where to find the settings you need to see.
