Quote E-signature - a new email address

SOLVE
Please help

We recently updated our internal email system, and it seems that our sales representatives can no longer verify the e-signatures for quotes sent to customers before the change.

Sales reps are unable to sign these quotes because they are not receiving the verification emails that HubSpot is supposed to send to confirm their identity.

Our IT team connected the old and new email so technicaly they should receive the email.

Please help, we have a lot of quotes like this. Anyone had similar situation?

HubSpot support said we cannot change anything but maybe there is something we could do

Quote E-signature - a new email address

SOLVE

Hi @Xiawanbai ,

Thank you for sharing the details of this issue. To resolve the problem of sales representatives not receiving verification emails for e-signatures, here are some suggestions and workarounds:

  • Work with your IT team to ensure emails from noreply@hubspot.com and success@hubspot.com are not being blocked, filtered, or delayed. Add these addresses to the allowlist and safe sender list, and verify there are no security settings causing interruptions.
  • Temporarily update the sales reps' email addresses in HubSpot to alternate ones (e.g., personal or team emails) and test if verification emails are received. Use these emails as a temporary solution if successful.
  • Confirm that the correct email addresses are associated with the sales reps’ accounts and check if HubSpot provides options for resending verification emails or manual identity verification.

Workarounds for Existing Quotes:

  1. Reissue the affected quotes with updated sales rep details and email settings if resolution takes time.
  2. Explore if HubSpot allows manual verification of identity internally to bypass the email verification step.
  3. Use a third-party e-signature tool, like DocuSign or Adobe Sign, as a temporary measure to finalize quotes.

Since HubSpot support has indicated no direct changes are possible, consider escalating the matter to confirm if alternate configurations allow email re-verification or request support for mass reissuing quotes with updated email settings.
