Populating Historical Sales in System - Best Practices

SOLVE

Hi Community!

I am hoping someone can provide some advise on best practice for following use case:

We have run a conference for 3 years in a row and do not currently have a CRM - I want to be able to track the attendees that have attended for each year. I am wondering if I should create a historical deal with products for each year? or Just a historical deal? Or just add a custom contact property with tags for each year or multi-select data field with drop down for each event year? I want to maximize ability to report on this so I can segment multi-year attendees and also track our customer retention rate...... and am just confused if I need to use Deals + Products + Tags to ensure I have good reporting functionality in the future or if that is just over doing it! (We just sell individual tickets - group tickets - and sponsorships as well as many many promotional codes that would also be good to track)

Hey @RMaxwell1,

I would make a deal for each contact's attendance/purchase event in this case.  I would recommend the following as a minimum on the deal:

Deal

  • Event Name (Might be a dropdown)
  • Create Date
  • Pipeline
  • Stage
  • Line item with their purchase (Regular ticket, VIP, etc.)

Contact

  • Calculated field for number of events (deals in a "Won" stage)
  • Events attended (Multi-picker).  You could make a workflow here based on the Event Name in the above deal to auto set this on contacts

Hope this helps!
