Hello all. I am very new to HubSpot and the community and have been flying by the seat of my pants lately. I am currently trying to put together a report (pivot table) that houses multiple objects. Individually, the objects each have their own owner (leads and leads owner, etc), but in the pivot table they can be associated with a different owner (ie. leads and deal owner). The problem is that the different owners provide vastly different results (Leads and lead owner = 24 vs Leads and deal owner 123). I want to know if this is something that bacn be fixed with a custom object or custom property? I have created both but cannot seem to get them going properly. With my very limited knowledge, I feel that I may be approaching it incorrectly. Any assistance would be greatly appreciated.

@Jerrelle630 you can add leads as a secondary source, but if your primary source is contacts, and some leads are associated to companies only, they wouldn't show in a contact-based report – the same applies to a company-based one and contact-based leads.

Thank you for the quick response. Currently, I create a spreadsheet (pivot table) comprised of 7 different reports. It take a bit of time to convert the way my SVP needs it. My goal is to create a similar dynamic report in HubSpot that can provide the information instantly. The report contains 3 objects (leads, activities, and deals). With 2 different results for activites and 3 different results for deals. These are all nested under 4 levels of a location (user, area manager, cluster, region). It gets quite large so I'm breaking it down per region at this time. 

 

Hopefully this makes sense.

@Jerrelle630 thank you for explaining – without seeing the report or the exact requirement for the final result, it's hard to give specific advice unfortunately.

See if I can explain a little better. We have sales agents (users) who register customers as leads labeled as hot all time. Within HS, they register all of their meetings (activities) for the month to date. They also want to record all of their activities for month to date (calls, postal, SMS, email, etc.). The report will also list any upcoming activities for the next 7 days. Then they list deals that are still open month to date, deals that have been won month to date, and the final sum of deals won month to date. 

 

With separate reports, each have their own owner. However, while trying to pull them all together in a pivot table, to get the exact numbers, I would have to put lead owners, deal owners, and Activities assigned to which gives me 3 columns of names, even though they are the same person. If I just use one (lead owners), I pull results but the numbers do not match up correctly.

@Jerrelle630 that is because of the primary data source behavior I explained in my first reply. If you deselect data sources to just keep one, that issue will not occur anymore.

This part I partially understand. I can try to deselect some areas but that would not allow me to pull in the measures that I need. Based on what you're saying, if I don't utilize those secondary data sources, the numbers should in theory pull correctly. 

The issue I run into with that, is if I don't select leads as a secondary, when I need to add Leads (hot), leads will not be an available source. Unless I'm doin't something wrong while creating a custom source.

Hi @Jerrelle630,

 

HubSpot's custom report builder requires the primary data source to be present – which can lead to different results depending on which primary data source you pick. For example, if the primary data source is a contact but you have companies without associated contacts, those companies would not appear.

 

Maybe, without referring to HubSpot terms, can you explain what exactly you're trying to achieve with this HubSpot report? Why do you want to have information about owners of different objects in one place? Which purpose does that serve?
