Internal notifications go to all recipients in one email, not individual ones.

SOLVE

As the subject describes really, we have a few workflows that trigger internal notifications, often to multiple people such as the Head of our Sales team, and the owner of the Deal that triggered the workflow.

At the minute (and looking at some older comments such as https://community.hubspot.com/t5/Lists-Lead-Scoring-Workflows/Configuring-internal-alert-emails-so-t...) internal notifications go to each user individually.

 

It seems like a really quick win to be able to have this notification go to all users in one email so that they can then pick up the thread. 

 

If anyone has a workaround for this, or if I'm missing something obvious then please let me know, thanks!

Hi @SBrown6,

 

You do have a point! If you don't want to send internal notifications to your team individually, an easy fix is to create a team inbox/email and have the internal notification sent to that team inbox/email. That way, everyone will be able to see it. I do have a client who has three team emails (marketing, sales, and customer success), and we send internal notifications to those team emails when a process corresponds to one or more of them. In addition, those team emails/users are also made record owners and assigned tasks as and when due.

 

Otherwise, you will have to send the internal notifications individually.

Hi @SBrown6,

 

Do you need to get these notifications immediately or would a daily digest also be acceptable? If so, you could – instead of triggering a notification within a workflow – make sure that these records can be filtered into a report.

 

For example, if you're notifying via workflow for contacts that were newly created, you could also create a report that is a table view of contacts created within the last 1 day.

 

Reports can be sent as recurring emails, daily. That way, you would have a daily digest: https://knowledge.hubspot.com/dashboard/email-or-export-reports-and-dashboards

 

You would have to rethink your notification as a recurring report.

Thanks Karsten, thats a cool feature I didn't know about, but actually is the same issue, the email of the report gets sent to each person individually, and not on one email with all people included.

This is a good idea, in our specific case though it wouldn't work because the team email we create would need to be a real email we can log into HubSpot with, and we use Google Workspace for our email management so that new email would need to use a paid license.
