If Deal Stage = "Stage 2" Trigger Question/Survey to Deal Owner

Right now, I've set-up a trigger that if a deal is at "Stage 2" with amount of over $50,000, an email goes out to ask the deal owner asking potential resourcing needs to fulfill that $50,000 deal.

 

Is there a way for the trigger to instead ask the deal owner to select from a list of options (dropdown box) of common resourcing needs? Ideally, the option seleted would be captured either in the deal record or emailed to the operations team for resource planning.

Hi @DRiveong ,

Well, as we cannot use such drop-down property in email, I have a workaround for you.
You can create a dropdown property and use it on the form. Provide the link to the form in the email and ask the contact to fill that up. Now the property you are using is a contact property, you can create a workflow to copy those values from contact to deal property (create the same property in the deal too).

Yes, the first step here would be to create a custom deal dropdown property. I'd recommend naming this in a way that when you search for it among your deal properties, only this one property will come up. This will become important later.

 

If you have already created a deal-based workflow which notifies the Deal owner and asks them to fill out a field for potential resourcing needs, navigate to that workflow and to the notification.

 

If you have not created that yet, you would do so under Menu > Automation > Deals > Deal-based. It should look something like this, only with another Deal stage.

Now, for the notification body, we need a link for the deal property you just created. Navigate to a deal record, find the View all properties button in the left sidebar and click on it.

You should see a search field. Search for your newly created dropdown property. When you look at the URL in your browser, it should look something like this: https://app.hubspot.com/contacts/1234567/deal/1234567/properties?search=Resouring%20needs

 

The first number is your portal ID. The second number is the Deal ID. This link always follows the same syntax and we can use it in your notification. Simply replace the second number with a personalization token for the Deal ID.

Now, when someone receives this notification, they can click on this link and they will be taken straight to the All properties page where the correct property is pre-selected.

 

I would advise not to create a website form to be filled out by employees. HubSpot expects website form fills to come from external contacts. This can cause issues with tracking, analytics and attribution.
