How to separate two businesses with different domains in hubspot

SOLVE

Hello, our two businesses Peeq and Peeq Pro have been used together as the same business for a while but now we want to separate them to collect more accurate data. Both domains are different and we want to make sure we can differenciate both entities without losing data we already have. Peeq involves the ecommerce and products we sell to patients and Peeq Pro involves sales, deals, revenue tracker and subscriptions sold to doctors. How can we separate both businesses so that data from both stop being collected as the same business.

Hey @IAkpakoun, thanks for reaching out! This is a great question, and there's a lot to consider here depending on what you're tracking today and what specific reporting requirements you have.

 

Categorize all records as Peeq or Peeq Pro

A big first step is ensuring that all Peeq and Peeq Pro records (contacts, deals, companies, etc.) are categorized appropriately. You should be able to look at any record in the CRM and know which business it belongs to (or, if there can be overlap between records, the relationship that the record has with both businesses). This will likely require a set of Peeq custom properties and a set of Peeq Pro custom properties that will be used within the records and in forms for both websites. 

 

Segment forms and lead capture for Peeq and Peeq Pro

On that note, you're hopefully already using separate forms on the Peeq and Peeq Pro websites. If that's the case, you'll be well on your way to categorizing records that originated from those forms. If you're using the same forms across both websites, create unique forms for each site as soon as possible so you can segment that conversion data. Any landing page forms and such as well should also be separated by business and reported on separately.

 

Segment deals for Peeq and Peeq Pro

You're hopefully already using separate deal pipelines for Peeq and Peeq Pro as well. That's another great step to isolate the closed and potential revenue for each business.

 

As long as you're updated the needed properties to tie every record back to Peeq or Peeq Pro, you can filter your reports as needed to display only the desired business-specific data. You can also create custom analytics views (more info in this HubSpot Knowledge Base article) to begin segmenting your traffic reporting within HubSpot. Keep in mind that custom analytics views are not retroactive, so they will begin recording only the traffic that comes in after the view has been created.

 

Once you have solid system in place for categorizing and segmenting data across both businesses, you'll need to run back through existing records and update them accordingly. There will be some messiness with reporting during this transition, and it will probably take at least a few months before you arrive at clean reporting for each business, but an overhaul now will make your life so much easier moving forward!

 

Lastly, I'm not sure if you need something of this magnitude, and it does require a Marketing Hub Enterprise subscription, but HubSpot does offer a Business Units add-on to help you better differentiate between separate businesses within the same HubSpot portal. Just wanted to share in case it's helpful!

 

I know there's a lot to consider here, but hopefully this helps at least get you started!!

No problem! Hope all goes smoothly.

 

You are able to add an additional brand domain that can be used to send email from a different sending domain, but that will also require a HubSpot Enterprise subscription (more info in this HubSpot Knowledge Base article).

 

However, you can create email subscription types that are specific to each business to help differentiate.

 

You shouldn't lose any email engagement or performance data within Huspot if you do end up replacing your brand domain. You'll just want to make sure that your contacts are aware of the change and have opted in accordingly.

Thank you, we'll try that. Another concern we have is that the domain of Peeq is tied to the emails we send. But we want those emails to have the domain of Peeq Pro. We would like to make that change without having to delete the peeq domain because the data collected through that is important. Is there an option for us to just switch domains for emails and keep information from our previous domain?

Thank you so much for your help! What is we were to replace the brand domain we use for emails, would it it delete previous analytics (from previous domain)?

I don't believe it would. You should still see the same email performance and analytics regardless of where the email is being sent from! You'd only lose that if you were to delete the emails themselves within HubSpot. You can always export the performance of key emails before making the switch just to be safe as well!
