How to send automatic email based on form submission?

Background:

I created a (registration) form for events the company hosts. In the registration form, recipients can select a "Remote?" checkbox if they will be attending the event virtually. The form lives in several landing pages, as I create a new landing page for every event.

Goal:

My goal is to create a workflow that will send an automatic email (a zoom link) to recipients who selected the "Remote?" box after they have submitted the form.

Note:

  • There will be a different email (zoom link) for every event.
  • I have tried creating a workflow, but failed as it ended up sending the email to everyone who submitted the form.

Workflow that didn't work:

  1. Triggered by form submission to "Educational RSVP"
  2. Branch: 3 branches with 3 different landing pages and with the filter: "Remote? is any of yes"
  3. Under Branch 1 (Event 1): send an automatic email notifying recipients that they will receive a zoom link (this is where it went wrong)
    1. Under same branch:
      1. Delay until *date* which is 2-4 days before the event
      2. another branch that reads "Go to Remote if these criteria are met: Remote? is yes"
        1. basically another filter that was meant to separate remote registrants
  4. Remote branch (if the contact is a remote contact): Send email, a zoom link email will be sent

Something went wrong in this workflow and sent the notification email to everyone who registered for the event, instead of only sending it to contacts who registerd as remote attendees.

Wondering if there is an easier way to do this or if anyone can let me know what I did wrong.

Thank you

How to send automatic email based on form submission?

Hi @LVillalobos9! Welcome to the Community-- happy to have you here 😊

Given your set up with separate landing pages, it sounds like you are on the right track with the workflow. Could you maybe attach some screenshots of the enrollment triggers and the branches you created?

Right off the bat, I might recommend changing the enrollment to 'enroll based on matching filter criteria' and setting it to 'form submission AND Remote? is yes'-- this way only the remote form submissions are enrolled. Then you can branch based on the page/event and delay each branch.

Best,
Kennedy
