I'm looking for advice on best practices for assigning contact owners when it's not obvious who should take ownership of a contact. We often encounter situations where leads come in without directly connecting to a specific team member or department.
I work for a marketing agency with a small biz dev team of less than 8 people.
Someone is manually assigning the contact owner for these, but sometimes, after she's reviewed the contact, she doesn't know who should receive it.
Some ideas we're considering:
Rotating among team members via a workflow
Using criteria like geo, industry to assign owners via a workflow
Assigning a generic placeholder owner like "Biz Dev Team"
Leave them unassigned (IMO not a solution!)
What would you suggest, or have you done before? Also, do you have any tips on ensuring accountability when using placeholder owners?
Without having more context, options 1 and 2 seem sensible to me – but if possible I would try to gather the information required to confidently assign the record.
This depends on how these contacts convert. If it's through specific forms, additional questions could help, for example.
Have you checked where exactly tgese contacts are coming from and whether you can better enrich or qualify them before assigning?
Best regards!
