Best way to create a ticket from sales to operations

Hi,

Our sales department collects all kind of information during the sales cycle and at the end when the deal is won. We've added custom properties to store this information (no in a playbook, but we want the accountmanager to store it in the deal).

The first question is: Is it possible to collect all the information stored in the properties and show this when the accountmanager wants to change the status of the deal to closed won? So the accountmanager can check the information and add information where necessary.

The second question is: How can these properties be added to the ticket information? We have created a workflow that a ticket is automatically created for the operation department when the deal status is changed to closed won.

Or does anyone has a better solution? The idea is to fill in the information once, so it saves time.

Kind regards,

Kelly

Best way to create a ticket from sales to operations

Hi Kelly,

Great questions! Here’s how you can address both points:

  1. Collecting Information Before Closing the Deal: Yes, you can definitely ensure the account manager reviews and fills in all necessary custom properties before moving the deal to "Closed Won." One way to do this is by creating a "Required Fields" condition. When the account manager attempts to change the deal stage to "Closed Won," the system can prompt them to review and complete all relevant properties if any information is missing. This ensures no critical data is overlooked.

  2. Transferring Deal Properties to the Ticket: Since you’re already automating ticket creation via a workflow, the next step is to map the deal’s custom properties to the ticket fields. In most CRM systems, you can customize workflows to copy specific deal properties directly into the ticket as it's created, so the operations team has all the relevant information. This saves time and ensures that the data flows seamlessly from sales to operations without the need for manual input.

For a more refined solution, you could explore using CRM integrations or custom APIs that allow for more advanced field mapping and workflows, ensuring that information is only entered once and automatically passed along to the operations team.

Let me know if this helps, or if you'd like more specific guidance on setting up the workflows!

Hi WKhan57,

thanks for your response and solution!

I know that you can add questions (properties) that pop-up when you want to change the deal status to closed won and set them to required. But is it possible to collect the data stored elsewhere and only review the data at that time and add data if necessary or missing?
