Auto Assign - Copy a Company Property to a ticket Property when a ticket is created

We use our Tickets to sign a project into Design.  When a project is signed in the head of our Design Dept manually assigns a Designer to that ticket (making them a Ticket Owner) after reviewing the ticket and understanding current workloads.

 

Some of our clients have a designated Designer.  So we created a "designer assigned" property at the company level and wanted to create a workflow/automation that autoassigned the designated designer to a ticket (as the ticket owner) when the Designer Assigned is known.

 

A Hubspot representative had me build a couple of workflows to do this (using a ticket trigger that reset daily) and he ended up not being able to meet my need.

Hi @Kari-M,

 

This can be achieved with a custom calculation property and a company-based workflow. Since we want to copy from the company record and since we require re-enrollment, it has to be a company-based workflow.

 

In that workflow, the only action would be the "Copy property value" action.

 

For the trigger, we want a "Number of associated tickets" property which unfortunately does not exist. However, we can create it using a calculation property: https://knowledge.hubspot.com/crm-setup/create-calculation-properties

 

Here's how you want to set this property up:

Once created, use "Number of associated tickets is known" as a re-enrollment trigger for your company-based workflow and voilá, you're all set.

It's a little bit tricky, but it's definitely possible to do. 

 

How would you do that:

 

Create a workflow: 

1. Trigger: "designer assigned" is Known

2. Create branch > If the "designer assigned" = John

3. Action: set ticket owner = "John"
