I have an issue with duplicates. My flow is the following. I get the linkedin profile of potential customers (but not the email) and send them a message directly to LinkedIn Sales Navigator. When I get an answer, I send them a Hubspot meeting link (connected with Gmeet).
Usually, when the meeting is scheduled on their end, it creates a duplicate as they enter their email address (which I did not know before).
How could I make sure to have a single flow, from LinkedIn profile sourcing to closing of the deal, without having a duplicate created when I finally get access to their email ?
Hi @ANys! Welcome to the Community-- happy to have you here 😊
According to an existing thread on deduplication based on LinkedIn URLs, it is not currently possible to deduplicate contacts without an email address.
I can absolutely see the value of this -- I encourage you to consider creating a post on our Ideas Forum here. If you find a similar idea, give it an upvote and share your unique use case in the comments.

The issue occurs because HubSpot creates a new contact when the meeting form submission includes an email address not already associated with an existing contact. To prevent this, you can use HubSpot’s deduplication tools and processes effectively. Here’s a step-by-step guide:1.Enable Email-Based Deduplication HubSpot deduplicates contacts using their email addresses. If your LinkedIn contacts don’t initially have email addresses, HubSpot can’t match them when they later book a meeting. To resolve this:
Make sure that contacts are deduplicated based on email addresses in your HubSpot settings.
Go toSettings>Objects>Contacts>Manage duplicatesand confirm this setting.
2.Manually Update Email Addresses Before Booking When the lead responds positively on LinkedIn and you send them the meeting link:
Update the contact record in HubSpot by manually adding their email address if they share it in the conversation.
This ensures HubSpot recognizes them as an existing contact when they book a meeting.
3.Use Workflows to Handle Potential Duplicates Set up a workflow to identify and merge duplicates:
Use triggers like "Meeting Booked" or "New Contact Created."
Add a condition to check if a contact with the same LinkedIn Profile URL or similar identifying information already exists.
Automate tasks or notifications to flag duplicates for review.
4.Custom Integration for LinkedIn and HubSpot Consider using a tool like Zapier or custom API integration to sync LinkedIn data directly with HubSpot. This could automate matching LinkedIn contacts to existing HubSpot records based on custom properties like "LinkedIn Profile URL" or other identifiers.
