Contact Sync from HubSpot to QuickBooks Online

I am working with a client who wants to do a one-way deal and contact from HubSpot to QBO. Here are the specifics:

  1. All the information of a deal should be copied from Hubspot to QuickBooks (QBO) if Deal Name does not already exist in QBO. After the first time this happens for a Deal Name, it should not happen again. Synchronization must be disallowed for that Deal Name. 
  2. The contact information should be copied to QBO only if the company (client) doesn’t already exist in QBO. It doesn’t matter if the specific contact at a client doesn’t exist in QBO, we are not going to create a new client for each contact at a company because this creates confusion with invoicing and reports. Similar to Deal Names, after the first time, a client is added by Hubspot to QBO, it should not synchronize ever again. Synchronization must be disallowed for that client.

I don't see how the QBO app developed by HubSpot can support his requirement (for sure, it doesn't support the Deal object). Are there other apps in Marketplace that can support what is described above? What about Zapier or Make/Integromat? Or is this so special that it would require a developer to create this data sync?

Hi @free4ed 

 

  1. It sounds like you want the deal sync to be one-way and one-time? In which case the native integtration most likely will not meet your needs. Zapier has a 'new deal' trigger so this part of your process could most likely be achieved. 
  2. The contact sync sounds more complicated, but it should be possible to build a filter into a zap to prevent duplication of company records - this would probably be easier if you were able to sync HubSpot Company records to Quickbooks instead of Contacts.

Make, Tray, etc are similar to Zapier in that they may provider connectors, but you will most likely need a developer to code the logic - it would be possible on those platforms though.

@Phil_Vallender Thank you for your suggestions. I had a hunch that I would need to use tools like Zapier. Unfortunately, my client would not consider using them.
