Active and Passive Sales Lead Work flow development

Hi Everyone,

I have written workflow steps of Active and passive sales lead below: I want to implement this workflow in HubSpot. Can you please help me in this regard? Thanks

  1. Sales Lead generated by Sales/Marketing Team and send to recruitment team
  2. Recruitment Division Contacted Customer and ask for their candidates requirements for a specific job
  3.  Recruitment division sends Staffing Services agreement potential Customer
  4. If Customer signs agreement, then recruitment team will start sourcing/shortlisting candidates. If customer do not sign the agreement, then deal will be marked as lost deal in HubSpot
  5. After sourcing candidates, recruitment team will perform initial interview and shortlisted candidates
  6. Shortlisted candidates will be sent to customer for technical interviews
  7. Date will eb marked in Hubspot when resumes of candidates send to customer
  8. If customer recruited the candidates, then payment invoice will be sent to customer for payment. If customer is not responding for more than two weeks than customer will be marked as passive customer from active customer.
  9. Recruitment team will stop sending resumes to passive customer
  10. Automated follow up emails will be sent to customer once in a week
  11. If the customer is not responding after 45 days, then deal will be marked as lost deal automatically.
  12. Alert will be sent to Recruitment and sales team

It's not possible to lay this out in full detail in a forum post but I'll point you in the right direction for each point:

 

"Sales Lead generated by Sales/Marketing Team and send to recruitment team"

> This would be done with forms. With a contact-based workflow, you could create a deal in a recruiting pipeline simultaneously.

 

"Recruitment Division Contacted Customer and ask for their candidates hiring requirements for a specific job"

> With a contact-based workflow, you could internally notify the recruitment division or create a task for them to follow-up with the candidate.

 

"Recruitment division sends Staffing Services agreement potential Customer"

> This could again be a task automated by a workflow, alternatively you could assign the deal to another owner once its moved into the next deal stage..

 

"If Customer signs agreement, then recruitment team will start sourcing/shortlisting candidates. If customer do not sign the agreement, then deal will be marked as lost deal in HubSpot"

> These would be manual steps, the users moving the deal to the corresponding stages. Once you start creating candidate contact records, those should be easily identifyable as such, e.g. via the Persona field.

 

"After sourcing candidates, recruitment team will perform initial interview and shortlisted candidates"

> Again, manual steps. The interview could be logged as a meeting with meeting notes on the contact records of the candidates.

 

"Shortlisted candidates will be sent to customer for technical interviews"

> Again, manual step, tasks could be set up via workflow.

 

"Date will be marked in Hubspot when resumes of candidates send to customer"

> If this is a deal stage, HubSpot automatically logs the date.

 

"If customer recruited the candidates, then payment invoice will be sent to customer for payment. If customer is not responding for more than two weeks than customer will be marked as passive customer from active customer."

> Partly manual. If the customer is unresponsive, a deal-based workflow can automatically upate the Lifecycle stage of the contact or a custom property of yours that stores the information about active/passive.

 

"Recruitment team will stop sending resumes to passive customer"

> Nothing would remind them at this stage to do so, no action item.

 

"Automated follow up emails will be sent to customer once in a week"

> Requires a contact-based workflow and automated emails. These would be triggered by an associated deal that is closed lost.

 

"If the customer is not responding after 45 days, then deal will be marked as lost deal automatically."

> A deal-based workflow checks the deal for activity (e.g. contact has interacted with marketing email or Last activity date is within certain time range), if there isn't any, it could set the deal to closed lost.

 

"Alert will be sent to Recruitment and sales team"

> Internal email notification from within deal-based workflow based on this new deal stage.

 

Mapping this out entirely and configuring HubSpot requires discussion in some parts, as multiple approaches might work. This depends on how the mentioned teams usually work and which subscriptions you have at your disposal. If you have any follow-up questions, please let me know.
