We're looking for advice on managing lead volume more intentionally within HubSpot and wanted to see if anyone has solved this either natively or with a third party tool.
The problem we’re trying to solve:
We want to cap how many leads of a certain type are actively pushed to Sales at any given time. Once that threshold is reached, additional leads of that same type should stop being routed to Sales and instead be sent into a marketing nurture until capacity opens back up.
Right now, we have a varying number of leads per lead type, and while HubSpot workflows allow us to segment using percentages, we’re looking for a way to manage volume using a specific numeric threshold instead (for example, only allow the next X leads of a given type to go to Sales).
Example:
If Sales already has X outbound or inbound leads of a certain type, new leads of that same type should pause and be nurtured instead of immediately assigned.
Has anyone done this using native HubSpot tools (workflows, lists, custom properties), or with a third party app? Any patterns or limitations we should be aware of?
Thanks for laying this out so clearly — controlling lead flow by capacity instead of percentages is a really smart (and very real) RevOps challenge.
I’d like to invite a few Community members who think deeply about lead routing, capacity management, and workflow design to join the discussion. @RubenBurdin@Nishant_Gupta@franksteiner79 — hope you’re all having a great week! Have you seen effective patterns (native or via third-party tools) for capping lead volume by lead type and dynamically pausing/rerouting excess leads into nurture until capacity opens up? Any known limitations with workflows, list counts, or timing logic to be aware of?
Really interested to hear what’s worked (or not) in practice here. Victor
