😢 Get the Document URL, Without Requiring an Email To Get the Link!
I've got a bone to pick with Documents!
Current
I can't create a link to share the documents WITHOUT having to add an "Who are you sending this to". I don't want to have to put someone's email in here to get the link. I just want to share the doc link and ask for it on that page.
WHY oh WHY is it required? And I don't want to create a placeholder email (that's a hack).
Expected
I want to get the LINK to the document and when the person goes to the doc, we ask then for the email.
You offer this with the Mobile HubSpot Keyword (see below), but nowhere else.
This might help. From what I can determine, you dont need to create a URL link to share a document with a specific contatc, so long as your email is connected to Husbpot.
When compsoing a new email, at the top of the pop up window select "Documents". Select the document you wish to share via email. This should insert your document into your new email.
If you wish to rename the visible link when sending, click on the link which will open up a new pop-up window, where you can edit the "link text" and save.
Not sure if this was what you were looking for but it served as a good workaround for me!
So I believe that HubSpot requires the recipient's email address for tracking purposes (at least according to this Knowledge Base article).
From there, you can require an email address to be provided in order for additional recipients to review the document.
This is all done so that HubSpot is able to attribute sales document activity back to specific contacts. This is also designed to be more of a one-to-one solution where you're intentionally sharing documents with specific contacts.
I'm not sure what your exact use case is, but you can also consider:
Uploading the document under Marketing > Files and grabbing the sharable URL from there (lead engagement will not be tracked on this doc, but you can at least more easily share it/track clicks on the link if you have it within an email or CTA button)
Gating the asset with a form and requiring the form submission before the contact is able to access the document
Creating a separate landing page to house the asset, even if it's a CTA button that opens the document in a new tab, to see who is viewing and engaging from that standpoint
