Creating automated qualified deals

SOLVE

We create automated deals via a company workflow based on a scheduled meeting type (=demo). Unfortunately, activity-based workflows do not exist, so we can't re-enroll companies based on scheduled meetings. We have more than one deal per company as some dropout and then are re-engaged later.

How do you create deals in your sales pipeline?

@Humashankar I think this can officially be solved by creating a Contact workflow and selecting the trigger type "When an event occurs." Event would be "meeting booked", and "call and meeting type = Demo scheduled"Screenshot 2024-07-11 at 14.32.06.pngScreenshot 2024-07-11 at 14.32.40.png

Hey @YGemayel, thank you for posting in our Community!

You can create custom workflows to trigger actions based on various criteria, such as scheduled meetings or specific interactions with your company.

To our top experts, @Humashankar and @Lucila-Andimol do you have any recommendations for @YGemayel matter?

Thank you,
Pam

Hi @YGemayel

Per @PamCotton callout - activity-based deal workflows is not a native capability within the ecosystem,

Try to take advantage of contact-based workflows and deal properties in HubSpot by

  • Creating a custom deal property as "Last Meeting Type" to track meeting types.
  • Update your company workflow to set "Last Meeting Type" to "Demo" for new deals created from scheduled demos.
  • Set up a contact-based workflow triggered when a meeting is scheduled, targeting contacts with deals where "Last Meeting Type" is "Demo".
  • Update the deal property to "Re-engaged Demo" in the workflow.

Hi @Humashankar thanks for the detailed answer.

If I understand correctly, the last meeting type property will be updated on the deal record but we want a distinct deal for each demo. How would this look for companies?

Hi @YGemayel

You made a valid line of logic.

While the previous approach monitors demo activity, it doesn't generate separate deals for each demo. To address this, We can also try creating unique (Manual Deal Creation via Workflows) for each demo with companies in HubSpot, give a try with it and let me know if this helps.

  • Set up a company workflow that triggers when a new meeting is scheduled with a company that already has an existing deal.
  • Use the "Create Deal" action to duplicate the existing deal, creating a new deal with identical information.
  • Update the "Last Meeting Type" property on the new deal to "Demo" using another action in the workflow.
