Can you block a contact from using a meeting link?

SOLVE

I have had a few people on our sales team complain about a contact using their meeting link repetitively and wasting their time. Is there a way to block an individual contact from using a meeting link? If not, what's a good way to handle the situation?

As far as I know, this is not possible. I agree however that this would be a useful feature. There is a related request in the HubSpot Ideas section that I'd recommed you upvote and comment on: Option to block free email providers from booking via Meetings link

 

As far as workarounds go, you could use a contact-based workflow to send a notification to person who can then immediately delete these calendar entries – not ideal as it's a manual process.

Hi @amywill01,

 

Good news, there is now a private beta for blocking specific domains. If one person is bothering you, you could now block their domain (keeping in mind that this would also lock out other persons from that company).

Block (Free) Email Domains from Scheduling Meetings

What is it?

For each of your scheduling pages, you can now choose to add a rule to block visitors with free email domains or any specific email domains from being able to book time on your calendar.

 

Why does it matter?

Protecting your time is important. Users have shared that they are struggling to make sure that their calendars are filling up with meetings that they find valuable. To combat unwanted meetings, HubSpot is introducing the ability to block free email domains or a specified list of domains from being able to book time on your calendar.

 

How does it work?

On each scheduling page you want to prevent bookings from certain domains:

  1. Go to Library > Meetings Scheduler.
  2. Create a new scheduling page or edit the desired one.
  3. Within the scheduling page configuration, go to the Forms tab.
  4. Look for the Block free email domains section.

Turn on the toggle to block all free email domains that appear on this list.

 

If a visitor arrives on your scheduling page and gives a free email domain (e.g. google.com, aol.com, yahoo.com), they will receive an error message letting them know that the form doesn't allow submissions from that email domain.

You also have the option of adding specific email domains to block. You can do this in addition to blocking free domains or instead of blocking free domains. For example, you could choose to only block submissions from hubspot.com email addresses. Just type the desired domains to block into the text field and click Add to confirm each one.

 

Click Save to confirm any changes to the scheduling page after configuring blocked domains.

 

Who gets it?

This feature is available on Sales Hub Starter, Professional, and Enterprise or Service Hub Starter, Professional, or Enterprise.

Can you block a contact from using a meeting link?

This would be very helpful! I just reached out to HS support about this issue, we have someone who is spamming our meeting scheduelr and it would be really nice if we could block them from being able to schedule at all (email bounces, phone number is fake too)

Can you block a contact from using a meeting link?

Hi Karsten, I went to the link you added here for this client and added my name to the list of users who think this would be a valuable option and possibly even very needed. We have some on our sales team who's time is being wasted with no-shows. It would be nice to be able to cut them off from automatically booking meetings. It appears this post hasn't been updated since 2020 from the HubSpot team. Would you have any insights here? Thank you for your help!

We are having the same issue. Is there a way to block a person by name or email address from repeatedly scheduling bogus meetings and then never shows up to their scheduled meeting? They do not respond to our follow up communication emails, so this tell us they are not intending to meet with our team.

 

We have their email addresss so I would think there should be a way to block them in HubSpot using that email address. The next time this person attempts to schedule another email using that email, HubSpot would automatically generate a message directing the person to contact our office if they want to set up a meeting. This would most likely deter them from calling since their intent is not to actually to meet with a member of our team. It would be so great if HubSpot has this capability.

Thank you for reaching out to the Community!

The best option would be to remove this contact from your database.

 

While we don't have a 'universal' setting to prevent this specific contact from being created, there are a few things you can do:

  • First, GDPR delete this contact record following these steps. Please note that if the permanently deleted contact chooses to fill out a form on your website or if they send an email to a connected inbox, they will be added back to your account.

Therefore, the next steps are:

  • Add the contact's email address to the conversations inbox deny list - This will take any incoming emails from this contact to SPAM and prevent record from being recreated.

 

  • If the contact fills out forms repeatedly: To prevent them from creating new contacts through form submissions, consider blocking the IP address (we're unable to block a particular email address from sending forms, therefore, IP blocking is the most effective alternative in this case).
