Automatic Follow-Ups for Multiple Deals per Contact

Hello everyone,

Here’s my situation: we handle up to 100 quotes per day (Deals), and the same contact may be associated with multiple Deals. I need an automated follow-up sequence of three emails over a five-day period, with each message sent by the corresponding Deal Owner.

Is there a way to set this up in HubSpot?

Hi @Felipeboll,

This can be achieved with automated emails: https://knowledge.hubspot.com/marketing-email/create-automated-emails-to-use-in-workflows

In these automated emails, you can deal personalization tokens, both for deal name, but you can also specify that the sender of the email should be the owner. In the sender dropdown, simply follow the steps to add the personalization tokens.

You would then create a deal-based workflow (instead of a contact-based workflow). That way, each individual deal is enrolled and the email would be sent to all associated contacts (or those with specific association labels). Meaning: a contact with 3 deals would receive 3 emails.

Best regards!

@Felipeboll my bad, I hadn't thought of that - no, you would still need a deal-based workflow as that's the only way a contact will get one email per deal.

Is the deal owner by any chance the company owner? If so, you could send from the company owner.

Hi Karsten!

Apparently, it's not possible to have the sender as the Deal Owner on a deal-based workflow.

Should I create a contact-based workflow and connect to the Deal-Based one?

Thank you!
