Setting up Workflow for Custom Objects

Hello there,

 

Reaching out looking for a bit of assistance. I'm relatily new to Hubspot and we have started onboarding recently.

 

It all goes well but the main issue we are facing is setting up automation for whenever the contract is expiring and what actions would need to be taken forwards.

 

For example, we have created Custom property like "Contract Duration" or "Contract Expires" because we don't have regular contract lenght and each customer has desired lenght of activity in place.

 

Looking to set up a Workflow where the particular deal would be moved to certain stage AND have a task created for owner of the contact 2 weeks prior the expiry date is met.

 

Are there any guides or best practices that I could screen through in order to set this up?

Hey @JohnJeko this is pretty straight forward to do! I'd recomend having a read through the list of workflow actions to get more familiar and having a play around with some workflows in your portal. 

 

You would basically enroll the object which has your "contract expires" property, let's say this is a custom object. Then, as long as the deal is associated to that object record you can just put in an action for "set property value" and you can set the "deal pipeline and stage" value for an associated deal through this. It would look something like this:

One thing though is that you're going to want to use some association labels with your deals so you can target specific deals associated. Otherwise you will have to have this update every associated deal to that object, which would be an issue if you have multiple associated deals.

Setting up automation for contract expirations is a great way to streamline your processes. 

 

I would recommend setting up a workflow for your custom objects. And define the criteria for enrollment. In your case, you'll want to enroll in deals where the "Contract Expires" date is within 2 weeks.
