Absolutely stunned by my chat with support just now about Hubspots egregiously limited search capabilities. 

Are others aware that Hubspot allows you to enter hundreds of elements of data on every customer, include thousands of words of notes, and comments, and attachments, that all have text and titles and literally thousands of bits of information that a user might need to be able to seach on... but the only options you get are to search for is name, email, phone number and company?

We are relatively early in our implementation of Hubspot. We have created a custom contact property for "member number" and our whole internal process is built around this number for multiple reasons that are not simply changable, especially not just to accomodate Hubspot. 

I just want to be able to search for a customer record using that Member Number custom property.

Is Hubspot a CRM? Is Hubspot a database holding MILLIONS of items of data about my clients? And I can only search in 4 fields? YOUR predefined fields that I can't even customize to my needs.

Really Hubspot?
You can't even offer me a workaround, or a plugin, or an integration? There is NO WAY TO SEARCH ANYTHING ELSE?

It's a shockingly egregious omission in functionality that is literally making my company rethink our entire tech stack implementation plan this morning because of this extreme deficiency of functionality.

If anyone has this problem also, please tag on and express to Hubspot how essential this functionality is for hundreds of applications.

And if anyone has found a workaround, please share it. The Hubspot tech support insited there is no way.

@RCampbell72 I'm sorry for the frustration you feel regarding search and am happy to help with guiding you to finding a better experience.

 

I have run into a few situations where using search would have been more effective than filters, but for most situations I'm typically looking for a data set, not an individual contact by an individual data point.

 

1 - in the Contacts, Companies, Deal, Ticket views, you can use the search at the top for specific properties (depending on the object) as you noted above for contacts

2 - for your custom contact property for member number, you can use the Advanced filters to create views that make it easy to pull up a specific record.

 

For example, create a filter for member number "contains" and select a placeholder number, save the view, then you can easily modify this number from the saved view when you need to search.

 

Obviously with unique numbers, this is less ideal than if you were filtering data by broader property values vs trying to search for specific data on demand.

 

3 - try global search from the upper right of your account instead:

This was previously in beta, but should be widely available now - I didn't create a custom property with a unique value to test, these results have been more exhaustive than the individual object search in previous tests.

 

I found this documentation about search that says global search is also limited by properties, but I'm not sure if this was updated to reflect the recent change to the navigation/search or not.

 

"When using the global search bar, there are specific properties that are searched to match your search terms with records or assets. Searching for values of properties other than those listed below will not yield results."

 

It looks like it also varies by your subscription:

If you have an enterprise subscription, you can create your custom properties with the "shown in search" setting for single line or multi-line text or number properties:

If you're using a number property for your member number and have Enterprise, you would just have to check this box to make it searchable.

 

The only other search workaround I know - which wouldn't apply in this case but might just be helpful to know - if you're using the Conversations Inbox, you can use a # in front of keywords in the Comments for the thread to make it easier to search in the future. 

Typically I use custom ticket properties to search for specific issues we're tracking, but this can create a very easy quick search option that helps eliminate a lot of unrelated search results.
