IMAP settings - add option to disable automatically placing a copy in the sent folder

SOLVE

We use an IMAP connection and when sending emails to contacts in Hubspot this results in the sent emails appearing twice on the email server's sent folder. This then propagates to all devices on that users account that use the same IMAP account.


Sending emails through third party apps like Hotmail, and Thunderbird does not as these apps have a setting you can dissable  "automatically place a copy in the sent folder." 

 

Generally users have a storage cap on email servers, by doubling up on sent emails this cap will be reached sooner - especially if adding attachements.

 

...Also it ticks my ocd seeing sent emails doubled!

I think your IMAP is wrongly configured and you should try to solve this problem to have a permanent solution.

In the meantime, using a filter rule on your mail server may be a solution to solve the problem of duplicate emails in the sent emails folder when using HubSpot. However, it's important to note that setting up filtering rules may vary depending on the email provider you use (e.g. Gmail, Outlook, Yahoo, etc.). Here's how to proceed:

Step 1:
Access your e-mail account settings Access your e-mail account from a web browser, then access your account settings or options. Specific terms may vary depending on your email provider, but you should look for options such as "Email Filtering", "Email Rules", or something similar.


Step 2:
Create a new filtering rule In the filtering rules section, create a new rule by specifying the criteria that will trigger this rule. In this case, you'll want to create a rule that applies to outgoing e-mails sent from HubSpot.


Step 3: Configure the rule's action

Once you've defined the rule's trigger criteria, configure the action the rule is to perform.

The aim here is to automatically delete copies of e-mails sent from HubSpot that are stored in the sent e-mails folder on the mail server. Make sure you choose the appropriate trigger to delete these e-mails.
