Connect a shared e-mailbox without password

Hi all,

 

One of my clients is trying to connect a shared mailbox (info@...) to HubSpot, but since this is a shared Microsoft 365 mailbox, it doesn’t have its own password or direct login.

 

She is the manager of the shared mailbox and can send emails on behalf of info@ from her personal Outlook account.

 

According to HubSpot documentation, the shared mailbox should appear during the connection flow when she connects her personal inbox, but it doesn’t.

 

How can we properly connect this shared mailbox to HubSpot as a team inbox, without needing to assign a separate license or password?

Based on HubSpot documentation and community feedback, connecting a shared mailbox without a password is not natively supported due to Microsoft’s authentication requirements. HubSpot’s standard integration method requires a username and password (OAuth authentication) to connect email accounts securely.

Possible workaround: Assign a Temporary License - As shared in this community workaround, here’s what you can try:

Steps:

  1. In Microsoft 365 Admin, temporarily assign a license to the shared mailbox.

  2. Convert it to a user mailbox, and set a password.

  3. Connect it in HubSpot as a Team Inbox, using the new login credentials.

  4. Once connected, you may remove the license, and it will revert back to a shared mailbox.
    (Note: This may affect behavior depending on Microsoft updates.)
