Sales pipeline reports are wrong due to deals skipping stages

SOLVE

We've been having issues with inaccurate Hubspot reports due to deals skipping stages, causing any deal that has skipped a stage to not be reflected in closed won or lost reports. I have setup pipeline rules to prevent sales reps skipping stages but this only solves the issue for new deals created (future deals). Is there a way to update the historic data so it is reflected accurately.

Only other solution I can think of is to create an entirely new pipeline and push the deals through from the beginning. However, this will reflect and inaccurate sales cycle...

Sales pipeline reports are wrong due to deals skipping stages

SOLVE

Hi @HHeagerty,

Closed won or lost reports should not necessarily be affected by skipped stages. Can you share more details / screenshots of the configuration of those reports?

Generally, it's unfortunately not possible to backfill data without losing more data. By moving all deals to a new pipeline, you're losing information about when deals entered stages and how long they spent there.

The best solution is typically to accept the situation and create reports for before and after setting up the pipeline rules.

Funnel reports also let you specify that you want to see skipped stage information.

Hi @HHeagerty ,

To address the issue of deals skipping stages and affecting your "closed won" and "closed lost" reports, here are a few suggestions:

  • You can create separate reports for deals before and after pipeline rule implementation, ensuring all deals are accurately reflected in your reporting.
  • Set up workflows to automatically update deals that missed stages, correcting them moving forward.
  • As a more manual approach, you can export deal data, adjust stages in bulk in a spreadsheet, and re-import the updated data.
  • Use custom properties to track and report on skipped stages in a more flexible way.

These solutions can help resolve the reporting inaccuracies based on your needs. For your reference, you can explore the following resources:

It is neither possible to import historic deal stage date information, nor is it possible to backfill it using workflows. Please make sure you're sharing advice that can actually be implemented.

Hi @karstenkoehler

Thank you so much for your input! I truly appreciate the clarification. When I mentioned workflows to automatically update deals that missed stages, I was referring to an approach for managing upcoming data moving forward. I’ll certainly make sure to share advice that’s actionable and aligns with HubSpot’s capabilities.

As you pointed out, it's not possible to import historical deal stage information or backfill it using workflows.

Thanks again for your thoughtful feedback. I’ll ensure that future solutions are implementable and aligned with the platform’s capabilities.
