Hello @RMazzucchelli7 ,

At this time, HubSpot does not natively sync Outlook meeting response statuses (such as Accepted, Declined, or Tentative) to any HubSpot properties. While meetings logged via the Outlook Sales Extension are recorded on the timeline of associated records (contacts, companies, or deals), the individual attendee responses are not automatically reflected in HubSpot.

Here are a few workarounds:

  1. Manual Tracking with a Custom Property
    Create a custom property in HubSpot (e.g., “Meeting Outcome”) and manually update it based on attendee responses from Outlook, if capturing this information is essential to your process.

  2. Automated Sync via Microsoft Graph API
    With development support, you can use Microsoft Graph API (via tools like Microsoft Power Automate) to retrieve attendee responses from Outlook and push that data into HubSpot using the HubSpot API. This requires custom integration or middleware.

  3. Third-Party Integration Tools
    Platforms like Zapier or Workato may help bridge the gap, depending on the complexity of your workflow and data sync requirements.

Interesting question, @RMazzucchelli7 how would you want the meeting response to appear on HubSpot? A simple note on the Contact's timeline with the RSVP status, meeting title, date/time? A custom 'Meetings' object tracking every meeting, and associated to the relevant Deal/Contact?

Thanks for the question! If you check the article, you'll see that HubSpot allows you to log and track meetings booked via Outlook in the CRM. However, to clarify your point, HubSpot does not currently track attendee responses (such as Accepted, Declined, or Tentative) to those meetings. That functionality isn’t available at this time.
