Maintaining 2 email addresses, 2 HubSpot instances in one Outlook client

Hi all, I am currently working with a holding company that has two company identities underneath it. Everyone is using Outlook on their Windows machines and is getting email from both sub-companies through one single Outlook app on their computer.

I have also set up two separate HubSpot instances for the sub-companies as they have totally different contacts and needs.

Using the HubSpot sales extension in Outlook, is it possible to keep this clean? For any mail sent or received at name@company1.com, I want it logged to the Company 1 HubSpot instance. For any mail sent or received at name@company2.com, I want it logged to the Company 2 HubSpot instance. How can I make this happen if they're using Outlook?

Hi @HunterHawley,

First ensure that the HubSpot Sales Extension for Outlook is installed and configured for each sub- company.

In Outlook when composing or receiving email, you'll find the HubSpot Sales Extension. Before, sending an email, click on the HubSpot icon and choose the appropriate HubSpot instance for that specific company. This will ensure that the correspondence from name@company1.com is logged into the Company 1 HubSpot instance and vice versa.

For emails received, use the extension to log them into the corresponding HubSpot manually. Alternatively, you can set automation rules with each HubSpot to categorize and log email's based on the sender's email address. This can be done through workflows or rules that trigger actions specific to each company.

Let me know if you have any follow-up questions.

@Jigar_Thakker I am afraid this might be the right answer... there is no way this will work though. Anybody would have a very hard time keeping all of that straight before each new email or even reply. Hoping to find a better workaround that doesn't require manual intervention on every email
