I've connected ZoomInfo with HubSpot. On ZI I have a workflow that sent me a number of contacts and companies. Now, I created a list based on them becoming leads today, which worked fine.
I want to update that list each time ZI sends me new contacts. Following that, whenever a person enters that list, send them an automated welcome email.
In short: how can I automate the updating of the list and what trigger criteria would I need to use to send them an automated email when they enter the list?
Any help is appreciated, and please let me know if I need to elaborate on any points.
Thanks for your suggestion! I got it to recognise it and trigger the workflow.
My next step/ question is how can I make it so that the imported data carries a property which would be their intent? In other words I would like to set up three workflows for three different intents. So when ZoomInfo sends over the 3 set of contacts, how can I get HubSpot to recognise them as separate lists?
When you map ZoomInfo to hubspot that intent should be getting mapped to a property so that you can use a workflow to add them to separate lists. If it is not mapped to a property you won't have an automated way to accomplish this.
Hi @Alex_Elborn, I had to "tell" HubSpot to expect the string of letters and numbers which is the intent. In short, set up a new contact property as a single-line text in HubSpot, map it accordingly on ZoomInfo and the extention should populate it.
From there you can use it as "intent 1" is known.
That being said, if you track more than one intents on ZoomInfo, you have to create individual single-line text properties for each and mapped accordingly.
Lastly, there are cases where a company shows multiple intents and they will populate all contact properties where applicable.
Connecting ZoomInfo with HubSpot opens up great possibilities for automating lead nurturing. You're definitely on the right track with creating a list based on new leads and sending them a welcome email.
Here are two approaches to consider -
1. HubSpot Workflows:
HubSpot Workflows allows you to automate actions based on triggers. In your case, the trigger could be "A contact is added to a list." Within the workflow, you could then add an action to send a welcome email.
For a more comprehensive solution, explore the Qualifire app within the HubSpot app marketplace. Qualifire goes beyond basic list updates by offering features like:
Lead Qualification Forms: Create forms with questions to assess lead fit and automatically classify them as unqualified, qualified, or hot leads.
Data Enrichment: Qualifire integrates with ZoomInfo (and other sources) to enrich lead data with firmographic and demographic information.
Automated Routing: Based on lead classification, Qualifire can display different Calendly schedulers or route leads to specific sales reps.
Welcome Email Automation: You can set up automated welcome emails triggered by lead qualification or when they enter a specific list in HubSpot.
By leveraging Qualifire's functionalities, you can automate lead nurturing while ensuring you prioritize the "hot" leads.
Additional Tips:
Personalize your welcome emails using data from ZoomInfo / Qualifire (e.g., company name, job title, qualification score).
Segment your list based on lead score or other criteria to tailor welcome emails for different lead types.
Good luck!
PS - If my reponse helps, please mark it as the solution. Thanks!
You should be able to use the source detail properties to identify the leads being created by ZI to add to an active list when they are created, and thus your workflow will pick them up when they become members of that list. Assuming this is all new data, the creation date of the contact with the source detail will be enough. However, if you are updating existing records in your database that may require additional complexities in the process that would need to be accounted for.

Right! I added a new contact property "Intent" and made it a dropdown list and named the three options there. On the side of ZoomInfo, I also added an extra property but I ran into some trouble:
I pressed Test Mapping hoping to see how intent is shown on HS side as then I'd know how to use it in a workflow. When I went to view the test contact, I was met with an error message

Hi @ArpMik did you figure out how to do this? I'm struggling with the same issue
In this issue if the integration is broken, I would reach out to ZI and see if they are able to look into resolving as there is nothing anyone here would be able to help with.
As far as testing, if you are unable to use the test tool I would just push over a single record with the data and then view the properties in Hubspot to see what comes over. Unfortunately this will waste a few credits, but if ZI isn't working I would ask them for extra credits as you had to work around an issue with their integration and they should give the back to you.
Lastly, you could also do as suggested and map to a single-line text property to see if that resolves the testing issue.
