Workflow for Follow-up emails after Form Submission

SOLVE

Hello,
I'm conducting an (external) industry survey and once participants fill out a HubSpot form at the end in which they can choose between the following options:

  • Receive the survey results
  • Enter contest to win a prize

The contacts enroll into the workflow if they have ticked one or both of these boxes meaning there are 3 different options (3 because someone could want to receive both the results and win a prize).

I prepared 3 different follow-up emails for all of these options. How do I make sure that every segment receives the correct email and not multiple emails?

I set up the following workflow:

First check if:

Branch Name: Survey Results + Win Prize
Group 1:

  • Survey Results is any of yes
  • Win Prize is any of yes

If above criteria aren't met, then check if:

Branch Name: Survey Results only

Group 1:

  • Survey Results is any of yes
  • Win Prize is any of no

If above criteria aren't met, then check if:

Branch Name: Win Prize only

Group 1:

  • Survey Results is any of no
  • Win Prize is any of yes

This gives me 3 different branches in total and I select the respective follow-up email for each branch.

Is this the correct way to go?
I had a different set-up before leading to contacts receiving two follow-up emails, so I'd appreciate any confirmation or help to make sure I get it right this time around.

Thanks!!

@Elison99 then I'd specify and recommend the following:

Branch 1: Survey is any of Yes AND Prize is any of Yes

Branch 2: Survey is any of Yes AND Prize is none of Yes or unknown

Branch 3: Survey is none of Yes or unknown AND Prize is any of Yes

None met: [contacts who didn't check either]

A box that is not checked does not default to no, it'll be unknown – hence the changed bold parts above.

Hope this helps!

Hi @karstenkoehler,
Thanks for your super quick reply.

  • Yes, you're right, the operator is AND.
  • They are 2 separate single checkboxes "Survey Results" and "Win Prize", both are optional.

It should work this way, right?

Thanks again!

Hi @Elison99,

Yes, that looks generally good, as long as the operator for group 1 is AND. That's not spelled out but I assume you have it there:

Survey results is any of Yes

AND

Win prize is any of Yes

For a final confirmation, you would have to share more context: Is this one multiple checkboxes property (mandatory or optional) or two separate single checkboxes (in which case I assume they're optional)?

Best regards!
