Workflow - Ability to Create Notes
SOLVE
Right now you only have the abilty to create tasks in workflows.
Other MA platforms allow you to merge fields and save into a note during autmation which is extremly handy for team members when viewing hisotry of activity.
For example someone fills out a form...you want all of that data in a single note so dont have to go look at each field...
Creating Notes (and being able to pin them) is great. I was thinking that it will be great to automatically have Note fields auto-populate like with a snippet - usng the personalize function to auto-populate text. But when you go to the Note editor within a workflow, it does not give you the option to personalize (auto-populate from certain fields) the way snippets do. Any chance personalizing is coming to workflow notes?
@JdeRocquigny Correct, this action is not currently supported in custom object workflows. However we are working on adding that functionality now (along with note pinning). Stay tuned for updates. Best, Megan
@MeganLegge this doesn't seem to be deployed on ALL object records (specifically custom objects like Event Hapily records). Is this something that will be available on all records soon?
It's correct that the Create note action is now out to all customers with access to the workflows app. Are you perhaps looking for the action in a custom object type workflow? That functionality was not included in this version, though we're currently investigating our ability to add it there as well.
Just checking on the status of Create a Note in a Workflow. This thread said it was going live on 12-17-24 and Hub Product Updates says it is Live and out of Beta - but I don't see it yet. Thanks.
and while we are at it @MeganLegge the ability to pin the note such that it is visible independently of the tab being used in middle pane of the contact record. Notes buried in the notes tab will be overlooked, even if they are pinned, which isn't good enough for "warning" type notes.
Yes please @MeganLegge an ability to visually differentiate some notes from others is key. Some might be basic information, some might be warnings etc.
Thanks @MeganLegge! Can confirm we have turned on the beta in our portal and it works as expected. Very good addition, one less external app to worry about!
Also good to hear pin and custom objects are on the roadmap. Would it be possible to include into that -colored tags- as well? The feature is already present for Deals & Tickets boards and it is VERY useful. Of course, might not be as easy as copy-paste to implement into Notes; but it would increase their visibility (and so usefulness) greatly!
We use workflows to automate many tasks we would normally be manually managing. I would like the ability to use workflows to "Create Note" on a Contact and/or Company record.
Example 1: Following a training, we provide our clients incentives. Currently our team manually adds a Note to the contact record of the individual who attended and also associates it with the company record of that individual. The note is the same for every individual that attends, but the incentive differs depending on the training. This helps our sales and support teams know exactly what was offered and when the incentive expires.
Example 2: Occassionally we use workflows to fix/update/change properties as we improve our internal processes. For these situations, it would be helpful to include a generalized Note on either the Contact or Company record explaining why the record/property was changed. Especially since we typically delete the workflow after the updates have been made.
The ideas presented here are awesome and make a very strong case! However, they are not the reason I am upvoting this. When using forms, the message section goes to Membership Notes (a Hubspot Property). This property is difficult to find and see. I aim to use a Workflow to copy the message into the Notes section so it is easier to see by the owner/agent.
In response to the question "Does anyone have an alternative in the meantime?", you can add tasks that aren't assigned to anyone. That does pretty much the same job as a note, although psychologically it's unsatisfying.
