Safe to create date-based lists for re-enrollment purposes?

SOLVE

HubSpot won't allow you to create re-enrollment criteria based on date properties. I'm guessing this is to stop people from spamming contacts in short-intervals.

But we are allowed to create date-based active lists, and re-enroll based on list membership.

Is this an oversight that HubSpot will remove in the future? I'm looking for confirmation from HubSpot that this is completely intentional.

Safe to create date-based lists for re-enrollment purposes?

SOLVE

Hi @kyleffotf,

This workaround via list membership has been around for a long time (years) and I don't think it's going anywhere.

The reason why I think certain date filters are not allowed for re-enrollment is that certain filters are not met at a clear point in time. If you however combine a "is more than x days ago" or "is less than x days from now" filter with a "AND [property] is known", you can enable re-enrollment for this "is known" part (corresponding to a re-enrollment upon a change in this field as long as it's more than x days ago or is less than x days from now or...).

So I don't think HubSpot wants to generally block this path. It's more a technicality of what can be executed and what not and it's simply missing explaining tool tips.

Thanks for the explanation. If I'm understanding you right, I can have a workflow with enrollment criteria of:

  • Is member of [List]
  • Recent conversion date is more than [x days ago]

Even though HubSpot says I cannot re-enroll based on the second condition, it will still only re-enroll a contact if both conditions are true?

@kyleffotf it feels like we're slightly on the wrong track – what exactly should trigger enrollment?

Safe to create date-based lists for re-enrollment purposes?

SOLVE

My bad I'm sort of asking multiple questions at once.

My workflow should enroll contacts who are part of a specific list, and a certain amount of time has passed since their last conversion date. I don't want to re-enroll people just for re-entering the list. I want to re-enroll them if they're on the list and 150 days have gone by without a conversion. They should be able to re-enroll multiple times based on that time period, even if their list membership stays the same forever.

Since you confirmed it's OK to make date-based active lists, I could just do a duplicate of the list in question + the date filters, and use that for re-enrollment. But then this list would exist for the sole purpose of a workflow, and it seems cleaner to just do a workflow with that filter instead.

Thoughts?

@kyleffotf thank you for explaining.

Re-enrollment based on lists only works if contacts leave the list and re-enter it. Staying on the list does not qualify a contact for re-enrollment, even if re-enrollment is generally enabled.

Do you have Operations Hub Professional or Enterprise? If so, you would simply create a daily recurring workflow with the condition that 'Recent conversion date is more than 150 days ago'. In the workflow, you would need to add a branch for a custom date property (e.g. 'Last email send date') and check whether it's more than 150 days ago. If yes, nothing happens. If not, then set the value of the date property to the current date and send the email.
