Ideas for newsletter workflows?

I'm working out the best way to manage a regular newsletter workflow. The triggers will include people finishing other lead generation workflows, and this becomes the regular touchpoint. Twice monthly, and with some smart content for people who are customers vs leads. I will probably add a few responsive emails in addition as we go on, in response to particular browsing they do. 

I'm wondering how best to construct the workflow? Ideally I wouldn't do one for every month, so I'm thinking of adding a time delay after the final email of that month, and then altering this for the next month when the new email is ready. I'm sure some of you have this working and perhaps with a smarter way of working! 

I'd be grateful for ideas.

Hey Marged, 

 

This is a very interesting request, but I think I understand what you want to do. Essentially you want to capture your newsletter subscribers in a constant workflow that you can edit every month without having to build out additional workflows each month? 

 

If you're worried about flooding your workflow list with a bunch of cloned workflows each month, I would suggest using the new folders feature HubSpot recently added to the workflows list area. That definitely helps me stay organized. 

 

Your idea for using a time delay at the end of the workflow MIGHT work, but eventually, your monthly newsletter emails could get thrown off schedule due to the fact that people might get enrolled at different times.  The last thing you want is to change your workflow around while you have contacts in the middle of it. 

 

I would advise using active lists to organize your contacts and simply schedule your 2 monthly newsletters manually. Automatically add contacts to the active list as they complete specific workflows and send your emails to them on set dates of the month. You could then enroll the latest newsletter email recipients to your "monthly touchpoints" workflow using the enrollment criteria "received marketing email" option. You could use this workflow to send the other responsive emails and use your if/ then branches for all that fun customization stuff. 🙂 

 

This will help keep your monthly touchpoint emails on a regular schedule, and still have the ability to send your contacts customized content based on their interactions with previous marketing emails. You may need a separate (slightly shorter) branch for the contacts that join the workflow after the second newsletter of the month goes out. You will also have to add that email to the enrollment criteria after it is launched. 

 

At the end of each month, you can go in and edit the individual branches and simply change your enrollment criteria to the newsletter for the next month. Make sure you have enabled the "re-enrollment" option on the workflow review page before taking it live. This way you won't need a time delay at the end of the workflow, the contacts will be re-enrolled automatically when you change the enrollment criteria each month.

 

This method should keep your workflow area clean and limited to one "reusable" workflow. It also gives you the ability to keep all of your monthly subscribers on a consistent schedule and still customize their email experience each month.

Ideas for newsletter workflows?

I've created a newsletter workflow following these instructions but not sure if this was the correct flow. I didn't see some of the 'received marketing email' option but I've structure as follows:

My goal is to be able to adjust the dates monthly to re-enroll engaged mebers/customers with different content using the if/and block
