How to set up a workflow triggered by API-saved calls

Hi HubSpot Community,

I’m working on a project where I need to set up a workflow that triggers every time a call engagement is saved via the HubSpot API, and it should apply to all contacts and all calls.

Do I need to set a specific status for the call (e.g., "completed") when saving it via the API for the trigger to activate? Or is there any additional configuration I need to consider in the workflow to make this work?

I really appreciate your help and any guidance.

Hi @PDelfinHipoli,

 

I'm not aware of a field that can be used for this out of the box – but you can simply create a call property and populate that via API, e.g. "Call created via API" (single checkbox). https://knowledge.hubspot.com/properties/create-and-edit-properties

 

You can then reference this in the new call-based workflows:

What is it?

You can now create workflows centered around calls.

 

Why does it matter?

With this change, you can now trigger automation based directly on all calls that happen or are logged for your contacts. Then, you can use workflow actions to create standard, automatic internal processes for call follow up or management.

For example, you could send the summary and outcome details of a call to the sales rep or their team over Slack.

 

How does it work?

To create a call workflow:

  • From the workflows tool homepage, click "Create workflow" and select "From scratch"
  • Choose the Call object on the object select page
  • Choose the trigger based on call events or properties
  • Add actions as usual

Who gets it?

Marketing Hub Professional, Marketing Hub Enterprise, Operations Hub Professional, Operations Hub Enterprise, Sales Hub Professional, Sales Hub Enterprise, Service Hub Professional, Service Hub Enterprise


Call-based workflows are in public beta, you can find the beta under Settings > Product updates.
