Dynamics 365 F&SCM Company specific workflow

SOLVE

My company is implementing MD 365 F&SCM. We need to configure procurement processes for our company, but we have a lot of approval steps to do on different stages and all kind of exceptional restrictions. Usually Approvals need to be made by hierarchy positions, but some times it just need to be done by another departments or even employees with lower hierarchy positions. Also we need restricted access to some product types in our purchase requisitions, i heard it might be done by configuring policies.
So can anybody give advice how to achieve this in our implementation or what steps need to be done?

Dynamics 365 F&SCM Company specific workflow

SOLVE

Thank you @BérangèreL for the tag to help @IFarafonov. Ivan, I've not made the connection between MD365 F&SCM with HubSpot. So I don't have a personal story on how to do it. However, I did find a couple of resources that may help.

With those resources, here's what I found might help.

Create custom workflow hierarchies:

  • Set up Position hierarchy types to define different approval structures.
  • Use the Configurable Workflow Hierarchy to route approvals to different hierarchies based on specific conditions.

Configure workflow properties:

  • Open the workflow editor and set conditions for when the workflow should run.
  • Add multiple approval steps with different assignment types (Participant, Hierarchy, Workflow user, or User).

Set up approval conditions:

  • For each approval step, configure conditions to determine when it's required (e.g., purchase requisition amount > $10,000).
  • Use the "Run this step only when the following condition is met" option to define specific criteria.

Implement restricted access for product types:

  • Configure policies to limit access to certain product types in purchase requisitions.

Consider using Power Automate for enhanced flexibility:

  • Integrate Power Automate with D365 F&SCM for more complex approval routing.
  • Utilize Excel workbooks as a source for custom rules, allowing for easier updates without developer involvement.

Test and validate the workflow:

  • Use the "Test" feature in the workflow editor to verify that conditions are configured correctly.

Hopefully this gives you what you're looking for, Ivan. Again, not something I've built myself, just some resources I found to maybe help.
