Contacts workflow using Company fields

SOLVE

Good morning, Lists, Lead Scoring & Workflows community,

If this post is in the wrong location; I apologize for my error and please move it accordingly.

We have contacts workflow that is using Company fields. Specifically there is an email address within the Company field that we need to use as a trigger.

I am looking for options to use this field as a trigger.

  1. Should I re-create the workflow and create it as a Company-based Workflow and not a Contact-based Workflow?
    1. I think this is probably the most optimial plan.
  2. Is there a way to copy this email address from the Company Field into a Contact Field to trigger the existing workflow?

Thank you for your time, insights, and suggestions,

Yes, in a contact- or company-based workflow you can create records. To do so, find the 'Create record' workflow action in the right sidebar. When the workflow is creating a new contact record, it can pull from company personalization tokens, for example filling the Email field of the new contact with the token for "COMPANY_CTEDIRECTOREMAIL".

Contacts workflow using Company fields

SOLVE

Hi @thomas_bennett,

Happy to help!

This heavily depends on what exactly the workflow is supposed to eventually do. A company-based workflow will work with the company record, a contact-based workflow with contacts. It sounds banal but this differentiation can have wide-reaching implications.

Re-enrollment criteria for example only work for properties of the object the workflow is based on. Certain workflow types are only available for contact-based workflows, e.g. date centering.

Generally, yes, you can use the "Copy property value" action in both contact- and company-based workflows to copy values, such as email addresses, between contacts and companies. However, keep in mind that you can't use custom email fields in company records to send automated emails, for example.

The more details you share, the more help I can provide.

SOLVE

Good afternoon, @karstenkoehler,

Thank you for taking the time to get back with me.

You may have answered my question:

"However, keep in mind that you can't use custom email fields in company records to send automated emails, for example."

Companies

COMPANY_CTEDIRECTOREMAIL

This field contains an email address that we need to use to trigger a specific workflow. Can anything be done to either use this field and the contained email address as is or is there a way that the email address could be copied into a list or another field that could trigger the workflow?

"The more details you share, the more help I can provide."

What other information may I provide to be able to help you help us better?

Thank you again for your time,

Thomas

I am so sorry for not being transparent!

Yes, we would like to send an email using the

COMPANY_CTEDIRECTOREMAIL field. This field is in "Companies".

This might be the solution we're looking for. I'll need to get with my marketing automation specialist to see what we can do.

Thank you so much,

Thomas
