Can I use the xxxxxxx@bcc.hubspot.com address as a list filter?

Hi-

My company uses an on-premise Inventory Management System (IMS) called Acctivate (acctivate.com). It's also where all of our quotes are created and then emailed to our customers as a PDF attachment.  

Unfortunately, integrating Acctivate with HubSpot is not easy - we have a developer working on it, but it's slow going. 

In order to log the email generated from Acctivate into HubSpot, I've been using the <accountnumber>@bcc.hubspot.com added to the bcc field in the Acctivate email templates. 

While that at least gets the email logged to the contact record in HubSpot, we're having challenges with following up after a quote is generated. So I want to use a workflow to remind our team to follow up at certain times after a quote is generated, but I'm stumped as to how to make this work.

What I want to try to do is to create an active list in HubSpot that would check to see if the email's bcc address matches <accountnumber>@bcc.hubspot.com, while then ALSO checking to see if that email has a pdf attachment that begins with "standard quote".  I also only want to add a contact to the active list on the first email generated from HubSpot - not any future back and forth after a quote is converted to a sale. 

Anyway, I can see there's a method under activity to check for "attached video name," but I can't find a way to check for the name of any other type of file attachment. (Grumble)

I also can't seem to find a method to check to see if an incoming email has the <accountnumber>@bcc.hubspot.com in the bcc field. Presently, Acctivate is the only place where we've had to use the bcc logging method, so it would be an ideal filter combined with an attachment file name and type (pdf) check.

If I can get these two filters to be applied to an active list, I think I can do everything else I need in a workflow. I just need membership in this active list to serve as the workflow trigger.

Does anyone have a suggestion that might work?

Hi @Billseng. Interesting use case. I don't think that BCC field you're thinking will work in HubSpot. I can see why it would be great if it did though. 

 

Here's my thought: What about looking for either original source or latest source is "offline sources"? That typically means it's an integration, an import, or manually. And I believe the drill-down 1 and 2 could help further. 

 

I don't have Acctivate in any portal I work in, but I'd test this as a solution to see if that gives you the list you're looking for.
