Branch for opened more than 4 emails (or clicked) in Workflows

SOLVE

Hi all.

I have a question regarding a workflow I am working on right now and I am stuck to find the right way and/or branch to set this up. I have a nurturing email automation with around 12 emails (long term). (too long?:-)) - it is B2B marketing with the goal to convert a marketing lead into an MQL to book a demo.

I am at email number 10 and would like to create a branch which should say: contact has opened 5 or more emails: then nurture further. If contact has opened 4 or less then end the workflow.

What is the best way on setting this up? I really would appreciate if someone also has a screenshot to share.

Thanks a lot!

@IsaGoe this is 100% a default property, see here: https://knowledge.hubspot.com/properties/hubspots-default-contact-properties

Marketing emails opened: the number of marketing emails opened. Please note that this value is incremented at most once per email; if the same email is opened multiple times, this value will only increase by one.

If it's not showing up for you, I'd recommend reaching out to HubSpot support; this is unexpected behavior.

SOLVE

To set up a branch in your workflow where you decide what to do based on how many emails a contact has opened, here’s a simple approach:

First, you’ll want to add a decision point to your workflow. Most platforms have an option for a “Decision Split” or something similar. This will let you create branches based on specific conditions.

Next, create a way to track how many emails each contact has opened. Use a custom field for this, which should update every time a contact opens an email.

Then, in your Decision Split, you’ll set up the rules. For example, you could set it so that if a contact has opened 5 or more emails, they continue receiving emails from your nurturing sequence. If they’ve opened 4 or fewer, you’d end the workflow or take another action, like sending a final engagement email.

Here’s a quick overview of how it might look:

- After sending email 10, you hit the Decision Split.

- If the contact has opened 5 or more emails, you continue nurturing them.

- If they’ve opened 4 or fewer, you end the workflow or switch to a different action.

Most platforms will guide you through this process with visual tools, so check their help docs for screenshots and specific steps.

I hope this helps you move forward! Let me know if you need any more details. 😊

Hi @IsaGoe,

You would choose an AND/OR branch. In the branch criteria, you would add a filter, select 'Contact properties', find 'Marketing emails opened' and specify that it should be greater or equal that 5.

That's it. The left branch (green) where you just specified the criterion is where a contact continues. The right one, red, is a dead end.

Thank you Karsten. I have tried this out but I can't find "marketing emails opened" under contact properties (or anywhere else).Screenshot 2024-07-24 at 21.21.03.png

@IsaGoe that is very strange, it should be under contact properties. Do different searches work, eg for 'opened'?

Unfortunately, no, there isn't a property named like this under data management. I assumed it was a default property in HubSpot, but it seems it's not. I'm considering setting it up myself. Will the property still be able to track marketing email opens?
