Using Hubspot forms for Teams webinar registration

Hi folks.

 

Looking at this KB Use HubSpot and Microsoft Teams webinars there should be an option to select the Teams Integration and a webinar for this form.

 

But when I look at Options in my Forms (Legacy) this option doesn't exist.

 

Yes, we do have the Teams integration enabled, and creating a Teams webinar automatically creates a Marketing Event record. Registering for a webinar using the Teams links creates a Contact record. 

 

I prefer the option of having the registration being created through Hubspot as it can be easily add to Hubspot Content pages.

 

Any ideas on why this is missing?

Hi @freitasm,

 

If you have followed the exact steps from that article but are still not seeing the option, that would be a bug and I'd recommend reaching out to HubSpot support directly in-app, via chat or email.

 

The only thing that's a bit off is that the screenshot in the article is definitely not taken from the form editor, but from the left sidebar in the landing page editor. Have you tried that?

 

Alternatively, if you have workflows included in your subscription, you could also use those to register a contact:

What is it?

You can now use contact-based workflows to register HubSpot contacts for Microsoft Teams webinars. This opens up the ability to segment and dynamically enroll contacts in Microsoft Teams webinars based on their HubSpot form inputs or other criteria.

 

Why does it matter?

Previously, contact registration for webinars hosted in Microsoft Teams had to be exclusively done via Microsoft Teams webinar registration forms. This meant you couldn't use HubSpot to centralize your marketing activities for your webinars if you were hosting them with Microsoft Teams, causing you to go back and forth between tools.

Now, you can use HubSpot workflows to automatically enroll contacts in Microsoft Teams webinars based on certain contact criteria.

 

How does it work?

Make sure you've installed the Microsoft Teams integration under the Full Install option and have set up permissions for webinar sync. For more information about configuring settings for Microsoft Teams webinars with HubSpot, including permissions, please see this article.

 

Once you have the webinar sync configured and see your webinar events in HubSpot, you can create a contact-based workflow. There will now be a workflow action under the Integrated Apps section, under Microsoft Teams, titled Add Contact to Microsoft Teams webinar.

 

Once this workflow action is selected, you will see a drop down from which you can select the specific webinar you want to enroll contacts to when the workflow trigger criteria is met. Note: This list of webinars in the dropdown will include all future webinars organized by users who have been granted access to share webinar data to HubSpot.

The first name, last name, and email of the contact will always be included to register a contact.

 

Once the workflow runs, you will see registered contacts in webinar settings under the Attendance tab in Microsoft Teams.

If the webinar has been synced to HubSpot, the registered contact will appear on the marketing event record in HubSpot and a registration timeline event will appear on the registered contact's page.

Who gets it?

All customers using the Microsoft Teams integration and have access to workflows, which requires a Professional or Enterprise HubSpot plan.

SOLVE

Same issue - even when I am in the landing page editor, these options don't come up. I used the legacy form creator, have the full Teams <> Hubspot integration and everything is set up through our IT as well. Is there something else I might need to check in my own settings or with my Teams license or something? Would appreciate any support/suggestions!

You are right. This is in the landing page editor, not the form editor.
